We are pleased to be hiring a Logistics Specialist at our UK site, based in Rhymney, Wales. The role is the primary point of contact for named Clients/Studies. You will coordinate all logistics tasks, including receiving, distribution, returns, and destruction. You will be responsible for ensuring that the appointed clients receive prompt, efficient, accurate service with the highest standard of customer service.
Duties and Responsibilities:
* As primary contact, you will be responsible for initiating meetings and teleconferences with the Client and other relevant parties. Liaise and update clients as required on an ongoing basis.
* Adhere to all Sharp policies, processes, and SOPs to ensure compliance with GMP and GDP.
* Responsible for the provision of all aspects of shipping advice as per client requirements.
* Review all data received upon quote acceptance and request any data that is not present but required for regulatory documentation and Technical Agreement.
* Responsible for the logistics management of specific allocated distribution projects.
* Coordinate distribution protocol from quote to end of study.
* Prepare reports for management regarding project status.
* Responsible for the project management of depots as per project requirements.
* Responsible for the preparation and administration of specified reports.
* Responsible for liaising with couriers and other specialists as necessary associated with the shipment of clinical trial supplies.
* Suggest packaging and distribution solutions to Business Development Managers and clients to improve distribution processes.
* Prepare and administer appropriate paperwork for the distribution and retrieval of study materials, in accordance with client-specific requirements and Sharp Clinical Services Europe’s standard operating procedures.
* Create proforma/commercial invoices and assist clients with applications for import licenses as required.
* Write distribution instructions and SOPs as requested.
* Develop innovative distribution procedures to gain efficiency, effectiveness, and flexibility.
* For allocated studies, ensure timely/accurate preparation and administration to encompass all activities required for the distribution of study materials.
* Ensure individual tasks are carried out in accordance with client-specific requirements and Sharp Clinical Services Europe’s standard operating procedures.
* Inform the Team Manager of project delays and recommend appropriate solutions.
* On completion of each quotation, ensure all reporting for invoicing is complete and ensure materials surplus to requirement are dealt with as per Sharp standard operating procedure or applicable client-specific contractual agreement.
* Responsible for the project management of ‘Returns/Incineration’ service in compliance with Sharp Clinical Services UK SOPs and client requirements.
* Undertake any project requested by management.
* When directed, in the absence of the Team Manager, take the ‘lead role’ for the logistics team.
Minimum Requirements:
* Ability to manage several tasks/projects at once.
* Proficient with Microsoft Office Suite, particularly Excel.
* Strong ability to read, write, and comprehend the English language. Ability to communicate effectively.
* Valid Driving License.
Preferred:
* Ideal candidate would be aware of and have experience in a regulated environment, preferably in the healthcare industry.
* Experience with SAP.
* Clinical Trial/pharma industry experience.
* Dangerous Goods Trained.
