Senior Maintenance Administrator - Whiteley
FULL TIME – 40 HOURS

Salary: Up to £30,000 (depending on knowledge and experience)

Reporting to: PPM Compliance Manager
Corrigenda is on the lookout for a dynamic and committed Senior Planned Maintenance Administrator to drive the efficient execution of our local maintenance contracts. Your primary responsibilities will revolve around ensuring the timely completion of Planned Preventative Maintenance (PPM) tasks and maintaining accurate documentation within our client database.
As the Senior Planned Maintenance Administrator, you’ll play a crucial role in updating and managing client asset information and records. Collaboration with our diverse team will be key to ensuring the smooth functioning of our department. We’re seeking candidates with exceptional organizational skills, strong interpersonal abilities, and a solid grasp of planned maintenance processes and procedures.
Training will be provided on our company’s processes, procedures, and the utilization of our Computer-Aided Facilities Management (CAFM) system and reporting tools. Occasional travel to other offices may be required to fulfill the demands of this role.
Key Responsibilities Include
(but not limited to):
* Update and maintain assets & records ensuring all required documentation is completed and uploaded to Corrigenda’s and the client CAFM system in a timely manner
* Update client CAFM systems with work updates for in-house and sub-contracted works as required to produce client monthly reports
* Schedule in-house engineers and specialist subcontractors to attend jobs, arranging access requirements directly with site and populating the resource planner
* Liaise with contract managers, engineers, and external contractors to ensure that paperwork and reports are received on time and completed to the correct standard
* Review the accuracy of the maintenance plans and ensure jobs/orders have been raised correctly
* Support the handling and logging of client requests via telephone or email
* Raise purchase orders for materials and subcontractors
* Assist with other work activities when required and provide team cover during holidays/sickness
* Act as a mentor to other team members and assist with their development
* Deputise on general admin support for PPM Compliance Manager
* Take ownership of ensuring monthly client report data is accurate and current
* Assist with resolving invoicing queries
* Support PPM Compliance Manager with asset data management within Planon
* Any other tasks, within capabilities, as instructed by line manager
Knowledge, Experience and Skills:
* Excellent attention to detail
* IT literate – must be confident in all Microsoft Office Packages particularly Excel
* Ability to prioritise and work under pressure
* Ability to work as part of a small team to become a ‘Team Player’ whilst demonstrating initiative and ability to work independently
* Experience in using CAFM systems for call handling and task logging
* Experience in quality assurance and/or compliance
* Excellent written and verbal communication skills
* Excellent telephone skills
* Experience working in a facilities role
