JOB TITLE: RECEPTIONIST/ADMINISTRATOR
Hours:
7.30am - 6.30pm, 40 hours per week over both practice sites (10hrs per day) or 30 hours per week over both practice sites (10hrs per day)

Job Summary:
Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way. Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. Support the medical secretary/Admin team in undertaking a wide range of secretarial and administrative duties and provide administrative support to the multidisciplinary team. Core responsibilities include managing private letters, medical reports, and supplying medical records to patients, processing information in a timely manner, and liaising with multidisciplinary team members and external agencies.
Primary Responsibilities:
* Reception:
* Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
* Deal with all general enquiries, explain procedures, and make new and follow-up appointments.
* Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen logically and non-disruptively.
* Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed.
* Issue signed prescriptions or token numbers, ensuring that the name and address are checked. Mark in patients' records when paper prescriptions are given and who collected them.
* Take payments and issue receipts for private treatment, letters, or forms.
* Prepare samples and log them for collection by courier.
* Ensure reception is always clean and tidy, and daily cleaning is carried out and signed off.
* Report incidents, compliments, and complaints and deal with them in line with Practice guidelines.
* Administration:
* Answer incoming phone calls, transferring calls or addressing the caller's requests appropriately.
* Deal with dashboard requests.
* Process prescription requests.
* Action Admin Tasks/Letters.
* Process patients' online requests/Emails.
* Process all incoming mail.
* Perform any task as requested by Partners/Practice Manager/Deputy Practice Manager/Operational Manager or team leader.
Secondary Responsibilities:
* Support the medical secretary team by typing letters, dictation, reports, and associated documentation as required.
* Liaise with external agencies such as solicitors, hospitals, and community services, ensuring referrals are processed efficiently.
* Manage all inquiries effectively.
* Maintain an accurate database.
* Scan patient-related documentation and attach scanned documents to patients' healthcare records.
* Input data into patients' healthcare records as necessary.
* Process referrals using the electronic referral system (ERS).
* Assist with private work and letter requests.
* Process requests for information, including SAR, insurance/solicitor's letters, and DVLA forms.
* Read code data and summarize notes on the Clinical system.
* Assist in recording all new pregnancies and booking all baby and mother postnatal checks.
* Run required reports and submit claims as requested.
* Maintain a clean, tidy, and effective working area at all times.
* Support all clinical staff with general administrative tasks as requested.
* Complete opening and closing procedures in accordance with the duty rota.
