The Administration Officer will support the Clinical Practice Educator Team with clerical and administrative tasks as required.
The post holder will also be expected to manage and prioritise their own workload using experience and initiative, and act as a communication link for the Clinical Practice Educator Team. This will involve the post holder being able to communicate with various services and agencies, internal and external, and with personnel at all levels.
The post holder will need to use Microsoft Office Software packages such as Word, Excel, and PowerPoint to undertake the duties of the role.
The Administration Officer will assist the Clinical Practice Educator Team with the training of new staff and less experienced staff in the use of electronic office systems, administrative practices, and participate in departmental induction.
The post holder will be expected to use their experience and judgement to determine appropriate action to be taken as a result of being the communication link for the team and ensure that the team is informed of issues in a timely manner.
Main duties of the job
The post holder will:
1. Require excellent verbal communication skills, responding to queries/enquiries face to face as well as dealing with telephone queries. At times the information may be of a sensitive nature and the ability to deal with emotional/distressed patients/visitors, learners, and nurses is essential.
2. May deal with enquiries/queries where there are barriers to understanding; therefore, tact and diplomacy will be required.
3. Communicate by written and electronic means with other staff members across Cwm Taf Morgannwg University Health Board (CTMUHB) and external agencies, ensuring adherence to confidentiality and data protection at all times.
4. Play a supportive role within the running of the Clinical Practice Educator Team.
5. Use own initiative to problem solve issues which are not straightforward and have a choice of options, dealing with enquiries e.g., from practice nurses and HealthCare Support Workers regarding education training days, advanced practice education.
6. Prioritise queries and/or enquiries within own limitations of role, contacting clinical staff, General Practitioners practices, and learners when necessary.

Person Specification
Qualifications and/or Knowledge
* NVQ III or the equivalent level of knowledge, training, and/or experience
* Knowledge of administrative systems, admission, patient information systems, hospital departments, clerical/office procedures, and data input procedures acquired through on-the-job training.
* Understanding of Microsoft Office software packages.
* Knowledge of the Patient Administration System used in the Health Board.
Experience
* Experience of working with members of the public.
* Previous experience in a clerical, administration, reception role.
* Working using own initiative and as part of a team.
* Working to deadlines.
* Being able to determine priorities.
* Previous experience of working within the NHS.

Salary: £24,433 to £26,060 a year per annum pro rata
