Job Summary
The Executive Director is a pivotal leadership role responsible for the overall management and strategic direction of the organisation. This position requires a dynamic individual who can effectively oversee operations, drive organisational growth, and ensure that the mission and vision of the organisation are achieved.
This position goes beyond traditional support—it requires strategic insight, sharp organization, and a confident, proactive approach. You will be trusted with managing high-level communications, streamlining operations, and ensuring the Directors’ day-to-day functions run seamlessly.
Duties
1. Provide high-level executive support to multiple Directors, anticipating needs and prioritizing tasks accordingly
2. Manage complex and dynamic calendars, appointments, travel arrangements, and itineraries
3. Prepare confidential documents, reports, decks, and presentations to a professional standard
4. Coordinate internal and external meetings, including logistics, agenda planning, minutes, and follow-ups
5. Liaise with senior stakeholders, clients, vendors, and partners with professionalism and poise
6. Handle highly sensitive information with confidentiality, discretion, and good judgment
7. Support Directors with personal administration tasks as needed, ensuring holistic assistance
8. Assist in the execution of special projects and support strategic initiatives across the business
9. Act as a gatekeeper and gate-opener—filtering communications while enabling productive engagement
10. Develop and implement strategic plans to achieve organisational goals and objectives.
HR & Recruitment:
1. Assist with end-to-end recruitment: job postings, interview coordination, candidate communication, and onboarding
2. Maintain HR documentation, contracts, compliance, and employee records
3. Support performance review cycles, team engagement initiatives, and culture-building efforts
4. Liaise with external HR service providers and recruitment agencies as needed
5. Champion a people-first mindset and ensure a professional, welcoming experience for all candidates and team members
Requirements
1. Ideally 5+ years' experience in an administrative or executive role preferably within a similar organisation.
2. Proven experience in recruitment coordination or HR support (in-house or agency background welcome)
3. Knowledge of HR best practices, basic employment legislation, and onboarding processes
4. Strong organisational skills, calm under pressure, with attention to detail and ability to manage multiple tasks simultaneously.
5. Proficient in data entry, phone etiquette, Google Suite, virtual communication tools and other office software.
6. Excellent communication skills, both verbal and written.
7. Confident, discreet, and emotionally intelligent, with a natural ability to build trust
8. Ability to work collaboratively with diverse teams and stakeholders.
9. Strong problem-solving skills with a proactive approach to challenges.
