Job Description:
An exciting new opportunity has arisen for an experienced administrator to supervise the reception at the Chadwell Centre.
We are seeking an enthusiastic and experienced administrator with excellent customer service, organisational and management skills. This is a new role that offers the right candidate scope to make their mark. The job will include managing the reception to provide an effective, patient-focused service for all users of the building as well as supporting building management to ensure the smooth day to day running of the premises.
About You
You will be highly motivated, flexible and multi-skilled with experience of providing administrative support and customer care in a clinical service.
Interacting with patients and professionals at a busy reception you will be confident in dealing with challenging situations and ensuring that the experience of all visitors is positive.
You will work without direct supervision so will need to be confident and capable. Your building responsibilities will need you to be practical, pragmatic and solution-focused.
An important part of this role involves managing staff so it is vital that you have good leadership skills and will be able to model appropriate behaviours.
Main duties of the job
* Line-management and HR responsibility for the reception team including recruitment and induction
* Ensuring the reception is adequately staffed at all times that the building is open to the public
* Ensuring good processes are in place for the functions of the reception
* Monitoring maintenance within the building, ensuring that the appropriate recording and reporting systems are up to date and the appropriate individuals/teams are aware of breakages, changes or hazards to the building
* Supporting building management to ensure that everyone understands who is responsible and safe processes are in place
* Carrying out audits and routine checks as required by the building management
* Reporting estates issues and following up to ensure they are addressed, escalating to the Building Manager as required
* Overseeing the car park and ensuring patient spaces are kept clear
* Liaising with contractors and DPT departments e.g. cleaners
* Providing an induction to the building for all new staff
* Attending and providing admin support to the Chadwell quarterly managers meeting

Person Specification
Qualifications
* NVQ4 in administration or equivalent level administrative knowledge and experience.
* GCSE English or equivalent.
* Evidence of continuing professional and personal development.
Experience
* Excellent interpersonal and communication skills both written and verbal including the ability to deal confidentially and tactfully with people at all levels.
* Experience in dealing with people in distress in a calm, compassionate and confident manner
* Intermediate IT skills in Microsoft Office Packages, i.e. Word, Excel, PowerPoint and Outlook
* Exceptional organisational skills and ability to prioritise
* Experience of managing administration staff
* Previous NHS experience of working in a Healthcare or Social Care administrative setting
