Main Duties for the Role. Ensure efficient running of appointment system. Be aware of flow of patients into consulting rooms and advise patients regarding any potential delays. Help coordinate urgent on the day appointments for patients either by assisting with the online forms or walk-in emergencies. Explain practice systems i.e. how to book an appointment / make an enquiry etc. to new patients and those seeking temporary cover. Respond to all queries and requests for assistance from patients and other visitors. Participate in Care Navigation, which involves signposting patient to more appropriate health care services, example Pharmacy First or UTC. Organise requests for ambulance transportation appropriately (including emergencies). Keep reception and waiting areas clean, neat and tidy. Report any cleaning needs to the external cleaners for action. Report any maintenance issues to the caretaker. Take and process new patient registrations. Safely take samples from patients as per the Sample Handing protocol. Take subject access requests from patients. Handle payments Set up online user accounts. Help patients with disabilities access our services. Ensure that you are familiar with the appointment systems being used for the practice and Primary Care Network appointments. Book appointments for long term condition recalls as per the patients needs. Be aware of the call board and ensure that phone calls are deal with in a timely manner. Retrieve and refile paper records as and when necessary, ensuring that filing procedures are adhered to. Process patient information such as notifications of deaths as per practice protocols. Receive and transfer telephone calls. Ensure accurate messages are transcribed to the relevant recipient. Ensure that the telephone and clinical systems are operational at the start of the working day. Complete the online AccuRX forms on behalf of patients with no digital access. Appropriate use of the AccuRX system to communicate with internal staff and patients. Where not appropriate, telephoning patients to pass on information from the clinicians. Ensure that close down procedures are completed at the end of a working day, ensuring that security procedures are carried out. To assist with the Practices clerical work as required. This may involve clinical data entry onto the computer, scanning of documents, issuing mail-merge letters, recording and extracting data for audit purposes. The record and inform patients of their anticoagulant blood test results in a time sensitive manner. To retrieve and advise patients of their tests results. To read, understand and perform duties from any operational protocols as deemed necessary for the role. Ensure staff refreshment area is kept clean and replenished. Ensure clinical waste is stored and collected as per regulations. To provide holiday and sickness cover for colleagues as required. To participate in weekend or evening rotas if and when required.
