We are seeking to appoint a cheerful and highly motivated person with great interpersonal and leadership skills and a commitment to team working to join the Therapy service as Lead Administrator.
You will be self-motivated, adaptable, have excellent time management skills, as well as a willingness to learn new skills. The work requires a flexible approach, initiative and the ability to motivate and influence others. You should be comfortable with handling confidential data and have good IT skills.
The ability to remain calm under pressure and work to tight deadlines is essential, along with the ability to prioritise effectively. You will need to be able to work in a calm, logical and methodical way, whilst dealing with frequent interruptions.
Due to the nature of some of the tasks and responsibilities of this role, the post holder will be required to work on site at Treliske Hospital.
This is a non-patient facing role, supporting the management team and clinical staff working across multiple sites and organisational boundaries and leading the Department Administrator, Inpatient Flow Co-ordinator and Rota Co-ordinators.

Main duties of the job
1. To ensure effective day to day communication, co-ordination, and supervision of administrative staff within the team (both full and part-time).
2. To deliver professional administrative and secretarial support to the Therapy Leadership Team.
3. To take a pro-active approach to deal with Health and Safety, Fire, Estates, IT, storage and room management issues within the department, communicating with all relevant parties across the organisation and ensuring appropriate reporting and action is taken.
4. To ensure excellent cross site communication channels are in place and that these are maintained.
5. To have an excellent understanding of the Data Protection Act, Freedom of Information, Caldicott, Computer Misuse Act, and Trust Security Policy to ensure all software system security is always maintained and data is administered appropriately.
6. To be responsible for administrative procedures including induction process, leave and sickness recording process.
7. To line manage, supervise and appraise non patient facing admin staff within the teams.
8. To be familiar with and to comply with the Trust's policies and procedures.

Person Specification
Knowledge
* NVQ Level III in Administration or similar in business administration or equivalent experience.
* GCSE A* - C in Mathematics and English.
* IT Literate and experience of using Microsoft packages including Word and Excel.
* Fully trained in systems relevant to the role for example Health Roster, Datix and Unit 4 (desirable though not essential as full training will be given).
Experience
* Previous experience of working in an office environment.
* Previous experience of minute taking.
* Previous experience of line managing staff.
* Working in NHS setting.
