We are seeking a driven and detail-oriented Supply Chain Assistant to join our Head Office team in Wheathampstead. This role is integral to ensuring smooth operations, from production planning to supplier management, allowing us to maintain our high standards of service and product delivery.
What will I be responsible for?
As the Supply Chain Assistant, you will provide essential administrative and coordination support to the Supply Chain Manager, helping to ensure smooth and efficient operations across forecasting, procurement, production planning, and overall supply chain performance. You’ll play a key role in keeping processes running smoothly by managing data, tracking performance, liaising with stakeholders, and supporting cross-functional communication.
Key Responsibilities:
1. Support the day-to-day coordination of the production planning process, including updating schedules, tracking progress, and communicating changes to relevant teams.
2. Assist with preparing, updating, and maintaining production and forecasting reports, ensuring accurate and timely data is available for decision-making.
3. Collect, compile, and format forecast data from the sales team and customers, helping to input and maintain it within forecasting systems or spreadsheets.
4. Coordinate regular forecast review meetings by preparing data packs, capturing notes, and tracking action points.
5. Support communication between the Supply Chain Manager, factory planning teams, and other departments by ensuring messages and updates are clearly documented and shared.
6. Help monitor raw material stock levels and supplier delivery performance, raising purchase orders and following up on outstanding deliveries or queries.
7. Act as a first point of contact for routine supplier communications, helping to log issues, track resolutions, and maintain supplier records.
8. Assist in supplier onboarding and maintaining accurate supplier and material databases.
9. Support sourcing and procurement activities, including researching and identifying potential new suppliers, requesting samples and pricing, and maintaining supplier comparison records.
10. Assist in cost analysis and tracking, helping to identify cost-saving opportunities and support negotiations with suppliers.
11. Help gather and analyse supply chain data to support trend analysis, issue identification, and KPI tracking.
12. Maintain internal documentation, SOPs, and process guides to support continuous improvement across the supply chain.
13. Support the onboarding and setup of new systems or tools, assisting with data entry, testing, and user training resources.
14. Liaise with cross-functional teams including Warehouse, Technical, NPD, Sales, Marketing, and Customer Service to ensure smooth coordination on supply chain-related matters.
15. Provide general administrative support to the Supply Chain Manager including calendar management, meeting coordination, and preparation of presentations or reports for senior management.
What are you looking for in the ideal candidate?
Experience:
* Previous experience in an administrative, coordination, or support role (supply chain experience is a bonus but not required)
* Comfortable working with Excel and handling data accurately
* Interest in supply chain, logistics, procurement, or production planning
Skills:
* Strong organisational skills and attention
* Good Excel skills (e.g., working with spreadsheets, formulas, sorting/filtering data)
* Clear and confident communication – both written and verbal
* Ability to manage multiple tasks and prioritise workload

Hours of Work:
£25,500-28,000 depending on experience
* 23 days annual leave plus Bank Holidays (3 days to be used between Christmas and New Year) – increasing to 25 days (3 years service), 28 days (5 years service) and 30 days (10 years service)

Location: Wheathampstead, St. Albans, Hertfordshire. Some travel will be required from time to time to our factory in March, Cambridgeshire and our warehouse in Basildon, Essex.
