Legal Secretary - Kidlington Office:
The candidate for this position will be successful if they are able to execute a variety of secretarial duties of a confidential nature. These tasks will include working with attorneys, paralegals, and other members of the firm with a series of administrative functions. Therefore, the candidate will need effective time management and organizational skills coupled with the ability to be detail-oriented.
Responsibilities:
1. Triaging calls from clients
2. Ensuring leads are assigned and followed up
3. Ensuring client calls are transferred or returned
4. Liaising with staff in all offices
5. Monitoring Oxford lead generation enquiries
6. Calling clients in court the following week to inform them of case information
7. Checking Oxford private cases to ensure sufficient funds on account on the client files per month
8. PA to Partner Suezanne King – assisting with organizing enquiries, sending out payment links, and marketing campaign support
9. Monitoring Google reviews and updating the partners monthly
10. Sending out engagement letters on the Partner’s cases
11. Ensuring Kidlington office is kept tidy and stationery well stocked
12. Check post daily
13. Checking Summertown office is monitored
14. In charge of out of hours phone rotas for Oxford team
15. In charge of organizing an article writing rota for all fee earners
16. Ensuring file management is in accordance with Quality Procedures Manual, LAA Contract, CQS, and Lexcel requirements
17. Reception duties
18. Liaising with clients in person and by telephone in a professional and friendly manner in keeping with the firm’s standards for client care
19. Liaising with others by telephone
20. Arranging mail despatch by post, hand or Document Exchange
21. Preparation of correspondence and documents through audio typing and word processing
22. Maintaining up to date time records as appropriate
23. Maintaining diaries and making appointments when required
24. Photocopying as required
25. Ensuring the confidentiality of all the firm’s and clients’ documentation and information
26. Consumables ordering
27. Daily filing including file opening, closing, storage, and retrieval of client files
28. Contributing to maintaining a safe and healthy working environment
29. Contributing to maintaining and improving office procedures
30. Ensuring compliance with Equality and Diversity Policy
Qualifications:
* Confident on the phone
* Good Microsoft skills and quick to pick up new software
* Experience of working in a legal practice
* Team player
* Strong organizational and communication skills
* Self-starter with Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
* Previous experience in a legal office desirable
Salary:
* £25,000 - £30,000 depending on experience
