Litigation Personal Assistant, Belfast, £neg + excellent benefits and hybrid working.
We have an exciting opportunity for a proactive and highly organized individual to join our clients esteemed law firm in Belfast as a Personal Assistant to one of their dynamic Partners/Fee Earners.
Responsibilities:
In this role, you will proactively manage the diary and inbox of the Partner/Fee Earner, ensuring efficient scheduling of appointments, meetings, and commitments. Additionally, you will play a crucial role in supporting the administration of both internal and external meetings by taking meticulous minutes, drafting agendas, and handling document distribution.
Your responsibilities will extend to processing and managing correspondence, including emails and phone calls. This involves anticipating responses and drafting professional correspondences on behalf of the Partner/Fee Earner. You will also be the point of contact for clients, responding to inquiries, emails, and telephone messages as required.
Further, you will arrange travel and accommodation through electronic travel systems and manage expense claims on behalf of the Partner/Fee Earner. Your support will extend to conducting research, producing presentations, executive summaries, and newsletters as requested.
General administration duties will include light photocopying, typing, and coordination with admin teams to ensure file availability. You will be responsible for arranging events, booking hospitality, and representing the firm by meeting and greeting clients when necessary.
In addition to these responsibilities, you will follow up on designated actions from meetings, ensuring completion ahead of the next meeting. You will also play a crucial role in coordinating the onboarding and offboarding process within the Practice Area.
Qualifications:
To be successful in this role, you must have experience working within a Law Firm or Legal business as a Litigation PA or Legal Secretary. We are keen to hear from individuals with experience in billing, drafting trial bundles and dealing with urgent court papers.
Effective communication skills, the ability to interact at all levels, and stakeholder management are essential. Highly organized with exceptional administrative skills, you should also be proficient in taking and producing high-quality meeting minutes. Demonstrating attention to detail and a commitment to the accuracy and quality of work produced are crucial attributes.
