We are looking for proactive, organised and enthusiastic individual to provide executive support to the Maritime director. This role is varied and cross cutting and will suit motivated individuals, who are natural collaborators and capable of problem solving and driving progress on a range of business management and corporate activities.
The successful applicant will work closely with the Maritime Director and the Maritime Directorate Senior Management Team (SMT) to coordinate and deliver Directorate corporate responsibilities and functions. This will require an individual who has strong capability in communicating complex and, at times, sensitive information clearly to a range of audiences, including senior officials, and the ability to successfully secure outcomes from others even when they face competing priorities.
Responsibilities
Key accountabilities of the role include:
* Diary Management - proactively managing the Director’s diary to make best use of their time, exercising judgement to ensure engagements are suitably prioritised and delegate matters where appropriate.
* Preparing papers – making best use of digital technology to ensure that the Director, or deputy, has the required papers or briefings ahead of meetings.
* Secretariat functions – identify suitable meeting dates; book meeting rooms; refreshments and equipment; draft outline agendas; coordinate and circulate papers; manage invite lists; take minutes; follow up actions identified in meetings and keep updated action logs.
* Inbox management – monitor and manage the Director’s inbox by prioritising emails, ensuring urgent emails are dealt with by an appropriate person and logging actions.
* Administrative support – book travel, accommodation, meetings rooms and refreshments as required; meet and greet external visitors; process the Director’s expenses in a timely fashion.
* Networking - developing and maintaining strong relationships with the Director and wider Senior Management Team, their teams and key stakeholders both internally and externally, taking time to understand their preferences, priorities and the work undertaken by the business area.
* Wider team support – work flexibly across Director’s Office team and directorate to provide support to teams as and when required. Proactively contribute to events and activities that support delivery of the wider directorates’ objectives.
