An exciting opportunity has arisen for a Medical Secretary to join the Children and Young Peoples Autism Service.
We are a very busy and friendly team and are looking to engage an experienced Medical Secretary with sound secretarial and excellent typing and interpersonal skills to take on this busy and varied post.
This role will provide a confidential and efficient secretarial and administrative support to the CYPAS Consultant Psychiatrist.
In the role you will be required to work on your own initiative and demonstrate a willingness to help others and be a key member of the team. You will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post, liaising with relevant others in order to provide a high quality and seamless service.
Excellent interpersonal and communication skills are essential with an ability to deal with highly sensitive and challenging situations.
You will work pro-actively using your own initiative, developing a sound understanding of the CYP Autism Service and current practices to manage workload and ensure information is communicated appropriately and enquiries are directed correctly.
Main duties of the job
* We are hiring an experienced Medical Secretary to join our team. They will provide comprehensive secretarial support and organisation for our Consultant Psychiatrist.
* Ensuring communication is efficient and responsive, dealing with queries and day to day issues.
* Deal with non-clinical queries from patients, their carers, general practitioners, members of the admin & clerical team and other internal and external services.
* To ensure that letters are processed within a timely manner, at times patient letters will contain complex and sensitive information which could be found to cause emotion or distress, this is due to the nature of the pathways within the service.
* Liaise with patient records staff, clinical colleagues, other admin teams and other organisations to ensure all clinical notes, referral letters and end of care letters are completed.
* Other activities and support that may be required by the service; appointment booking etc.
* To establish and maintain strong communication links with the clinical team.

Person Specification
Qualifications Essential:
* NVQ 3 in Business Admin or equivalent level of experience.
* Possess a recognised typing qualification (RSA III or equivalent) or can display work processing skills to an equivalent level.
Desirable:
* Further education in business, personnel or finance.
Experience Essential:
* Relevant secretarial experience at Team Secretary / Personal Assistant level.
* Secretarial / administration experience.
* Experience of dealing with sensitive / distressing issues.
* Experience of producing documents, reports etc to a high standard from hand written and audio transcription.
* Experience of data input.
Desirable:
* Previous secretarial experience within Autism / CAMHS.
* Experience and understanding of medical terminology.
