About the role
We are looking for an Office Manager to support us in our growing space.
The job
Every role at Coolr plays a vital part in the work we do. Here are some of the key areas of responsibility for this role:
* Meeting & Event Support: Set up internal and client meetings (tech, food/drink, room prep), assist with pitches, and manage monthly company meetings, office drinks, and social events.
* Office Management: Handle deliveries, guest reception, and vendor coordination. Maintain office and kitchen cleanliness, organize supplies, and resolve maintenance issues.
* People & Culture: Lead social committee initiatives, organize staff events, and coordinate gifts for anniversaries, celebrations, and clients.
* Travel & Logistics: Book travel/accommodation for shoots and conferences and manage repairs and equipment.
* IT Coordination: Act as point of contact for outsourced IT, addressing connectivity, hardware, and software issues, and conducting quarterly reviews.
Key Experience
* Experience in creative agency environment (ideally social)
* Proficient in meeting/event planning, office administration, and vendor management.
* Skilled in coordinating staff engagement initiatives and milestone celebrations.
* Experienced in troubleshooting office and IT issues to ensure smooth operations.
* Strong organizational skills with a focus on maintaining an efficient and welcoming workplace.

* Strong Organizational Skills: Ability to manage multiple tasks simultaneously, prioritize effectively, and maintain a high standard of office organization and cleanliness.
* Proactive Problem-Solving: A hands-on approach to identifying and resolving office, technical, or logistical issues promptly and efficiently.
* Event and Hospitality Experience: Confidence in planning and executing meetings, events, and social initiatives, including setup, tech management, food/drink coordination, and delivering a seamless guest experience.
* Excellent Communication: Professional and approachable demeanor, with strong verbal and written skills to liaise with clients, vendors, and internal teams.
* Tech Savvy: Comfortable troubleshooting basic IT issues and working with outsourced IT providers to resolve connectivity, hardware, and software challenges.
* People-Centric Approach: A natural ability to foster positive relationships with team members, contribute to staff engagement, and create a welcoming and professional environment for clients and visitors.
* Attention to Detail: Meticulous in managing supplies, maintaining records, and ensuring everything runs smoothly, from day-to-day operations to special events.
* Hospitality Mindset: A background in hospitality or customer-facing roles, with a focus on delivering exceptional service and anticipating needs.
* Adaptability: Thrives in a dynamic environment, handling ad-hoc requests and shifting priorities with ease.
