Blue Arrow are recruiting for a Helpdesk Office Administrator to join our Facilities client based in Swindoon a Temp to Perm contract. An opportunity has arisen for a Helpdesk Operative to join the team based on the North Swindon PFI Contract which is in the education sector. The Helpdesk Operative will be the first 'point of contact' for on a high-profile contract by receiving communication via email, telephone or face-to-face for all areas of hard and soft services. A Enhanced DBS is required for the role - We can facilitate an immediate start while in process as the role is office based, candidate can be escorted to site facilities. Monday - Friday Shift (we operate various 8 hour shift patterns between the hours of 7am and 6pm) 8 Hour shift includes 30min unpaid lunch break. 37.5 hours per week Candidate must be able to work between the hours of 7am and 6pm. Duties/Key Responsibilities To help support the delivery of planned and reactive maintenance. To receive and action direct telephone, email requests for service in accordance with the Help Desk procedures, answering calls in a professional and personable manner. To log, update, close or cancel jobs in our CAFM system (Reactive and Planned) - including monitoring open events. To monitor and record the feedback of site operatives to helpdesk requests and to ensure customer satisfaction with the service. To assist with the administration of sub-contractors and suppliers To provide a high level of customer service to clients To work collaboratively within a small team to achieve shared objectives. To receive and make welcome all visitors to site ensuring they are appropriately hosted, and their visit is planned correctly. Prepare any required reports generated from the CAFM systems. Provide general administrative support to the contract. Raising PO's and Invoicing on the contract To chase internal and external persons responsible for outstanding works requests on the helpdesk Providing financial admin support with invoices, raising of P. O's when required. Provide general administrative support to the contract. Assist in compiling information from various service lines for monthly reports. To carry out all reasonable tasks that may be requested from time to time. Skills Required Ability to work and prioritise under pressure. Proven experience within a similar role/ Understanding and experience of PFI contracts is an advantage but not essential. Experience of working to and monitoring of contractual SLA's and KPI's under pressure Good IT skills including MS Word, Excel, Power point and Outlook. Good level of interpersonal and customer service skills with all levels of staff an clients Good level of spoken and written English Continual improvement ethos with strong customer focus Thorough attention to detail Self-Managing and able to work on own initiative.
