Main Purpose of the Job
We are seeking a detail-oriented and proactive Part-Time Contractor Onboarding Support to join our Contractor and Compliance team. This role will support the onboarding process for contractors, ensuring they have a smooth transition into their new assignments. The ideal candidate will possess excellent organizational skills, a strong understanding of compliance, and the ability to communicate effectively with both contractors and internal teams.
This is a part-time role - circa 3 hours per day 5-days a week, to ensure full cover every day, with hybrid office (Guildford, Surrey) and remote working available.
Responsibilities:
1. Onboarding Process Management: Coordinate and facilitate the onboarding process for new contractors, ensuring they meet all legal and company requirements.
2. Assist contractors with completing paperwork and documentation.
3. Manage contractor profiles in the company's database, ensuring all information is up to date and accurate.
4. Compliance & Documentation: Ensure all contractors' documents are compliant with relevant regulations, for example: BPSS and ID verifications, Passport verifications, liaising with Clients/Security Office, Uploading docs to Client portal, liaising with Check Your Staff for Credit Checks, as examples.
5. Verify work eligibility, background checks, reference checks, and other regulatory requirements.
6. Client & Contractor Communication: Serve as a point of contact for contractors regarding onboarding-related questions or concerns.
7. Communicate effectively with internal recruitment teams, HR, and other departments to ensure a seamless onboarding process.
8. Training and Resources: Provide contractors with orientation materials and necessary training, ensuring they are well-equipped to begin their assignments.
9. Assist in setting up any necessary tools or systems for contractors, such as email accounts, software, or access to internal platforms.
10. Onboarding Tracking and Reporting: Maintain accurate records of all onboarding activities and contractor progress.
11. Provide regular updates to recruitment and HR teams on contractor onboarding statuses.
Skills and Experience
1. Proven experience in recruitment or onboarding (experience with contractor roles).
2. Strong understanding of compliance requirements related to contractor onboarding.
3. Excellent communication skills, both written and verbal.
4. Ability to handle sensitive information with discretion and confidentiality.
5. High attention to detail and organisational skills.
6. Self-motivated with the ability to work independently and manage multiple tasks.
7. Familiarity with online Timesheet Portals or HR software is a plus.
8. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
