Job Title: Admin Assistant Department: Executive assistants Location: Head Office (Stafford) Position: Full Time / Permanent Hours: 41.5 Principle Purpose of Position: We are looking for a highly organised and proactive Administrative Assistant to join our dynamic team. The successful candidate will be responsible for a variety of office duties, supporting the HR and Payroll departments, and assisting Executive Assistants (EAs). This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced, sales-driven environment. Key Roles and Responsibilities: Office Duties: Manage office supplies and inventory. Handle incoming and outgoing mail and packages. Maintain a tidy and organised office environment. Answer and direct phone calls and emails. Cover the reception desk as and when required. Calendar management, facilitating meetings. Schedule and coordinate meetings and appointments. Assist with filing, photocopying, and scanning documents. HR and Payroll Support: Assist with recruiting (CV reviews, screenings, interviews, offers, contracts). Maintain HR documentation and record activities in People HR. Assist with onboarding. Collaborate with outsourced HR supplier for cases, meetings, events, and documentation. Maintain employee records and update HR IT systems. Provide payroll information and collaborate with managers and finance. Support HR with enquiries and administrative tasks. Liaise with external HR software providers and colleagues. Cross-business Functional Support: Supporting with department-specific admin tasks Preparing routine department reports Following up on department actions Executive Assistant Support: Provide administrative support to Executive Assistants. Assist in preparing reports, presentations, and correspondence. Coordinate travel arrangements and itineraries. Manage calendars and schedule meetings for executives. Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organisational and time-management skills. Excellent verbal and written communication skills. Ability to work independently and as part of a team. Qualifications: Level 3 in office administration (preferred) or equivalent. Experience: Proven experience as an Administrative Assistant or in a similar role. High level of discretion and confidentiality. Moderate level of experience of office administration and payroll information processes. Familiarity with office management procedures and information transfer and exchange.
