The John Muir Trust is recruiting an Executive Assistant to the CEO. The Executive Assistant will report directly to the CEO and play a key role in providing support for the interface with the CEO and the leadership Team. Main responsibilities
Key duties
* You will work closely with the CEO and the Leadership Team, providing comprehensive administrative support, managing calendars and schedules, handling correspondence, and coordinating meetings and events.
* Assisting with 1st drafts of board papers, responding to difficult external replies on behalf of the CEO.
* Monitor the progress of Leadership Team’s objectives/KPIs.
* You will have responsibility for ensuring the Leadership Team meeting minutes are taken and issued timely, whilst maintaining oversight of all matters arising and actions to be taken.
* Be proactive in identifying areas for improvement and suggest innovative solutions to enhance efficiency and streamline operations and processes impacting the CEO and Leadership Team.
* Responsible for collaborating seamlessly with the returning officer during Trustee elections to ensure a smooth and efficient electoral process.
* Provide administrative support to the Secretariat when Secretariat Team members are on annual leave.
Person specification
Essential skills, knowledge and aptitude
* Experience as an Executive Assistant or Personal Assistant or similar, with a proven track record of providing exceptional support to Senior Level members.
* Experience in minute taking at Senior Level.
* Excellent attention to detail with a high degree of accuracy whilst also able to keep an eye on the big picture.
* Ability to handle any conflict with respect and build effective working relationships across all levels.
* Experience in managing internal and external stakeholders.
* Ability to work under your own initiative and effectively prioritise work and competing demands
* Exceptional written and verbal communication skills, with the ability to effectively communicate with individuals from diverse backgrounds and levels of authority.
* Ability to handle sensitive information with the utmost discretion and confidentiality.
* Resourceful and proactive approach to problem-solving, with the ability to identify and resolve issues promptly and efficiently. Whilst seeking advice when necessary
* Ability to work independently and as part of a team, maintaining a professional and courteous demeanour in all interactions.
* Highly motivated and committed to the Trust’s Purpose.
Qualifications
* PA diploma or additional qualifications as Personal Assistant (preferred).
* Advance IT skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Knowledge of executive etiquette and protocol.

Hours: 35 Hours a week
Salary: C Band starting from £33,345
Pension: 5% employer contribution to a group auto-enrolment pension scheme

Location: Edinburgh with occasional travel to Pitlochry
Holidays: 34 days per year plus 2 ‘wild days’ or 2 sustainable travel days
