As part of successful Business Admin Central Services Team, you will be required to support all clients across a fast-paced legal firm carrying out a variety of admin tasks. Flexibility and attention to detail are key factors, as is working under pressure whilst offering dedication and accuracy. You will be required to work Saturdays, working on your own assisting clients when required, as well as carrying out the standard floor walks and preplanned tasks.
Weekdays you will work with the team receiving tasks from a Workflow Coordinator; however, interaction with clients is a regular occurrence. The candidate must be well presented, polite, courteous, and have strong customer service skills. Ability to work on your own is key in this role.
The role of Business Administrator:
* Floor walks - Observation checks and fault reporting
* Admin General Housekeeping / Tidying Up
* Assisting Events Team - Name Tent / Name Badges / Other
* Assisting with booking rooms for guests and colleagues
* Binding, Archiving, Faxes, Filing, E-filing, Label printing
* Support / Locating Documents / Minor Research, Making up Files
* Support Guest services - Booking Taxis for guests and colleagues
* Room clearance, office moves, meeting Room checks
* Copier Maintenance / Filling Printer with Paper / Change Toner / Un-Jamming Machines
* Couriers
* Log Calls - Confidential Bins / Wires & Toners Bins/Maintenance
* Ordering Business Cards
* Printing / Photocopying / Scanning
* Refiling Stationery Points
* Taking Calls - Internal
* Other Admin Tasks Required
The ideal Business Administrator:
* Excellent English language and communication skills; confident and articulate in all communications, i.e. face-to-face, telephone, and written
* Ability to cope with varying workloads and flexible to out-of-hours demands
* People management skills at all levels
* Applicants must be computer literate and experienced with standard MS Office applications (Word, Excel, PowerPoint, Outlook, and Vision). Experience with desktop publishing applications and Microsoft packages
* To proactively fulfil the BA Role in all departments and assist all Practice Groups at all levels
The successful candidate requires excellent communication skills and is expected to be hands-on, proactive, and flexible. All roles will be expected to undertake manual handling duties within their physical capabilities.
