Bouygues UK has a fantastic opportunity available for a Project Assistant to work on one of our upcoming long-term construction projects in Exeter. This is an excellent opportunity for someone based locally to Exeter who is keen to work in a busy and fast-paced environment. The role will start in June/July this year. Job Purpose and Scope: To assist the project site teams with their day to day duties. Accountabilities and Key Tasks: Ensure that the filing structure is in place and the IT matrix is kept up to date, managing the electronic filing of the documents. Order laptops and phones, setting up e-mail addresses. Return of all IT equipment/key cards etc on leaving. Create and distribute a Welcome Book for new starters to the site. All outgoing letters to be referenced correctly and on the correct templates. If necessary set up a delivery/collection with the Royal Mail. Update the project website on a monthly basis (if relevant to the project) to show progress and photographs. Order stationery for the site and keep the stationery cupboard organised. Assist the Quantity Surveyors with contracts; scanning and filing green folders, binding and issuing the contracts, upkeep of the contract log to track contracts, collateral warranties etc. Keeping hard site copies locked away and preparing any letters needed for the QS team. To keep the Health & Safety matrix up to date with leavers and starters. Keeping accurate holiday records and Time in Lieu records at all times. Putting the Project Directory in place and updating when a new contract is awarded. On a monthly basis print and upload the newsletter to the project website and distribute to residents, checking with the Communications department in the first instance before anything is sent out externally. Create and maintain organisation chart for the Project Manager as required. Assist with the monthly client report and any other ad hoc reports. Archiving to be done at the end of a project. All documents, drawings and correspondence to be archived following the correct process and recorded correctly. Ensure that Message Pad is in place and that complaints are followed up, closed out and logged. H&S Filing Structure set up and followed. Site map to be created including contact details. Site gate log details to be extracted and updated. Noise monitor readings to collated and recorded, weather readings to be completed. Ensure that expenses are processed in a timely manner. Assist Project Director with minutes, diary management, typing letters and collation of documents for signature. Essential and Desirable Criteria: Essential: High standard of written and spoken English Excellent MS office skills (Word, PowerPoint, Excel and Outlook) Excellent written and verbal communication skills.
