Reporting to the President & CEO
Responsibilities
1. Provide confidential and executive level administrative and secretarial support to the President & CEO, Northwood Board of Governors (including Committees of the Board), partner organization Boards as required, and the Leadership Team.
2. Relieve the President & CEO and Corporate Leadership Team of administrative details through problem solving and independent action.
3. Coordinate project-based work, special events, forums, Board meetings and events, annual general meetings, etc. in accordance with protocols (Regulatory, Bylaws, Past Practice).
4. Adhere to compliance with rules and regulations, by-laws and Articles of Association regarding all Board and Board committee matters and ensure the confidentiality of information.
5. Maintain Board Shared Drive and Contract database.
6. Support the completion and submission of required regulatory reports.
7. Ensure that all correspondence for the CEO, Board Chair, and others is appropriate and supported by necessary backup information.
8. Establish and maintain incoming/outgoing correspondence, administrative policy, and other manuals, records, and filing systems to ensure efficient storage and retrieval of information.
9. Manage, adjust, and maintain CEO schedule including appointments, travel, education, presentations, etc.
10. Attend meetings, forums, and special events to record information and draft correspondence as required and identify required follow-up.
11. Draft correspondence, and prepare reports, presentations and other required documents ensuring accuracy, confidentiality, and a high standard of detail.
12. Conduct data analysis utilizing current programs and technology in the recording, filtering, sorting, and manipulation of data.
13. Solicit information and conduct basic research on topics emanating from meetings or as directed by senior staff.
14. Develop and maintain communication links with multiple internal and external clients.
15. Participate in organizational learning and change.
16. Participate in the development, implementation, and evaluation of departmental operational plan, goals and objectives.
17. Perform other duties as required.
Qualifications
1. Bachelor’s Degree or Diploma in Business/Administrative Support.
2. Minimum of 5 years of relevant executive support experience required, preferably in a non-profit organization.
3. Experience providing administrative support to a Board of Governors is an asset.
4. Advanced computer proficiency and working knowledge of word processing, database, spreadsheet, calendar and meeting management, and library retrieval systems required.
5. Experience in a unionized environment considered an asset.
6. Experience in long term care and/or homecare setting considered an asset.
7. Advanced Knowledge of Microsoft Office suite of applications, Adobe Acrobat, Share Point, Social Media platforms.
8. Leadership Development training an asset.
9. Demonstrated ability to develop and maintain a network of professional contacts.
10. Ability to demonstrate professionalism in all interactions.
11. Ability to maintain the confidentiality of sensitive information.
12. Ability to work independently and as part of a team.
13. Ability to manage demanding workloads.
14. Ability to work under pressure and time constraints.
15. Knowledge of the following:
1. Carver Model of Board Governance.
2. Robert’s Rules of Order.
3. Technology databases.
16. Strong interpersonal, verbal, and written communication skills.
17. Ability to multi-task while working to meet tight deadlines.
18. Demonstrated ability to attend work on a regular and consistent basis.
Salary: As per the Northwood Scale
