Our client is a market leader within fleet management and is seeking a Data and Systems Coordinator to join their growing team in Chippenham. The role will be ideal for someone with experience in data entry and system implementation with an understanding of the fleet industry.
Key Responsibilities - Data & Systems Coordinator
1. Manage configuration changes for all UK operational departments, within agreed timescales and to agreed levels of quality.
2. Ensure all requests are necessary, viable, and complete within the parameters of a defined and auditable process that incorporates need and impact analysis, issue reporting and management, change definition, and validation.
3. Attend required meetings, briefing team members on recent configuration changes and chairing these meetings as required.
4. Configure client structures, program group qualification rules, and pricing definitions to meet defined needs. Manage all client set-up projects and dummy client configurations. Contribute to the definition of client structures and support the client configuration review process.
5. Manage the library of Client Data & Aux Data fields and their uses across the UK client base.
6. Manage the Adjunct Rules system, configuring rules for efficient data copying of information between records.
7. Manage the configuration of the Violations system; ensuring configuration is in sync with the scope of the contracted product. Maintain configuration records to support the configuration change impact assessment process and contribute to systems configuration best practice and standards documentation.
8. Manage and monitor the day-to-day focus and activities of the cross-functional project team, ensuring required tasks are concluded in a timely manner and deploy mitigating actions to protect service level commitments.
9. Contribute to bulk data change impact assessments, confirming the impact changes to driver or vehicle record attributes will have based on the client's configuration.
10. Complete post-implementation/program termination Supply of Services Contract Compliance Reviews, in partnership with Finance.
11. Coordinate the Insurance Policy Management process, escalating issues and impact assessing new policies.
12. Create and maintain project templates, custom fields, forms, reports, and dashboards in the workflow and project management tool used by the business.
13. Maintenance and archiving of workflow and project management tool in consultation with business stakeholders.
Qualifications & Experience - Data & Systems Coordinator
1. A good general level of education is required and the ability to demonstrate good verbal and written communication skills, including report creation and analysis.
2. Excellent administrative skills, with good levels of accuracy and attention to detail.
3. The ability to organise and prioritise own workload and delegate to others, where required.
4. Competent in the use of Microsoft Word, Excel, and Outlook to an intermediate standard and the ability to grasp new software applications easily and quickly.
5. Ability to analyse business needs, scope requirements, and project manage tasks through to timely completion, ensuring stakeholders are kept informed of progress.
6. Knowledge of fleet management would be advantageous, although full training will be provided.
7. Experience of managing the configuration of multiple business systems would be advantageous.
