Purpose of Role
We are recruiting for an Assistant Facilities Manager to provide operational facilities support at the UCL Eastgate campus in Stratford.
Job Description
The Assistant Facilities Manager will be responsible for supporting the Facilities Manager with the delivery of our Hard Maintenance service stream and effectively coordinating all operational administration. Their main responsibility would be to manage the PPM programme and therefore require a background in facilities administration or helpdesk/planning. Additional responsibilities would be daily engagement with our sub-contracted teams, supporting the helpdesk, interacting with engineers/contractors, HSE site walks, and data reporting to prove compliance against contracted SLA/KPIs.
This is a development position which supports the leadership team and helps improve our efficiency of delivery - it’s a great opportunity for someone with previous facilities/PPM knowledge to develop their skillset towards becoming a future Facilities Manager.
Responsibilities
* Support the Account Manager in developing the successful strategy for the Account.
* Ensure effective systems are established to support the operational needs of the Account.
* Ensure CAFM systems are in place to optimise the management of all planned and reactive works.
* Develop management resource plans to meet operational needs and effect change where required.
* Support the Account Manager and Commercial teams in managing the finances of the Account.
* Maintain commercial, technical, legal, and insurance knowledge to support the Account.
* Support the commercial team in developing quotes/business cases for out of scope/additional works.
* Actively work to improve the public perception and brand of VINCI Facilities.
Essential Qualifications/Skills
* A good understanding of facilities management – hard services.
* An understanding of how to manage a PPM programme.
* Eagerness to develop their skills.
* Familiarisation with Maximo CAFM (or similar) would be beneficial.
* Proven IT skills (Outlook and basic data management).
