Job responsibilities
Duties and Responsibilities:
The duties and responsibilities to be undertaken by members of the Patient Services team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Patient Services Manager, dependent on current and evolving Practice workload and staffing levels:
The following are core responsibilities:
1. Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
2. Maintain and monitor the practice appointment system.
3. Process personal, telephone and e-requests for appointments.
4. Contact patients to book follow-up care/appointments (including appointments for family planning and minor surgery) and pass on messages from other members of the practice.
5. Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately.
6. Signpost patients to the correct service.
7. Initiate contact with and respond to requests from patients, team members, and external agencies.
8. Clinically code data on EMIS.
9. Data entry of new and temporary registrations and relevant patient information as required.
10. Input data into patients' healthcare records as necessary.
11. Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team.
12. Manage all queries as necessary in an efficient manner.
13. Maintain a clean, tidy, effective working area at all times.
14. Support all clinical staff with general tasks as requested.
15. Complete opening and closing procedures.
