Job Overview: We are seeking a highly organised, detail-oriented and adaptable HR Administrator to support the Human Resources department with a variety of administrative tasks. This role demands the ability to manage and prioritise various tasks effectively, including maintaining personnel records, ensuring HR documentation compliance, managing HR inquiries, assisting with visa sponsorship administration, supporting HR-related events, and handling employee onboarding and exit processes. The successful candidate will demonstrate strong multi-tasking abilities while ensuring accuracy and efficiency in all tasks. Work Location: Hounslow & Uxbridge, Office based Key Responsibilities: Personnel Records & HR Portal Management: Organise and maintain accurate employee records in both physical and electronic formats. Ensure all employee data is up-to-date and securely stored in the HR portal system. Perform regular audits to ensure data accuracy and compliance. HR Documentation Compliance: Ensure compliance with legal, regulatory, and organisational requirements regarding HR documentation. Prepare, update, and maintain HR-related documentation such as contracts, policies, and employee handbooks. Ensure that all required forms and documents are completed, signed, and stored appropriately. General HR Administration: Provide administrative support to the HR team, including assisting with HR projects, employee onboarding, and offboarding. Maintain accurate records for employee leave, absence tracking, and benefits enrolment. Assist with preparing HR reports and other administrative tasks as required. Employee Inquiries & Process Clarification: Respond to employee queries regarding HR-related processes, policies, and applications. Provide clarity on HR-related procedures and general employee inquiries. Act as a point of contact for employees seeking information or assistance with HR applications. Visa Sponsorship Administration: Support the visa sponsorship process for eligible employees, ensuring all relevant paperwork and documentation is completed accurately. Work closely with HQ HR departments and cross teams to ensure visa applications and renewals are processed in a timely manner. Maintain records related to visa sponsorship and ensure compliance with immigration laws. Skills & Qualifications: Education: Human Resources, Business Administration, or a related education background will be preferred. Experience: 5 years working experience in an HR/Office administration Technical Skills: Experience in Microsoft Office, HR portals or similar systems Attention to Detail: Strong organisational skills with the ability to maintain accurate and up-to-date records. Communication: Excellent verbal and written communication skills. Chinese Speaking will be beneficial but not essential. Problem Solving: Ability to handle inquiries and issues with professionalism and discretion.
