THE TEAM The role of Digital Media Asset Manager sits within the Operations team which is responsible for providing company-wide support across IT, Digital Asset Management, the Library, Facilities, Operations and HR. The Library and Digital Assets Management team is instrumental in curating and maintaining our digital media files, tapes and archive material. The team collaborates with and supports our Production, Distribution, Marketing and Management divisions and works closely with our international licensees and partners. KEY RESPONSIBILITIES To act as a Librarian and Curator of all digital media files, tapes & archive assets of the Avalon Group and be responsible for management of the day-to-day workflow of these assets and the Library workflow. The key responsibility is to oversee production and distribution deliveries of various assets to the Library, timely cataloguing, managing, storing and protection of these. Responsible for the timely and accurate delivery of international assets to the licensees. SPECIFIC DUTIES Managing all Avalon Group internal and external media asset workflows, to ensure assets are collated, reviewed, stored & backed up, as per company policy. Managing, migrating & distributing library content via a VIDA, Media Asset Management cloud-native SaaS MAM platform. Responsibilities include logging, maintaining and improving internal asset systems, server, master database & Vimeo accounts. Attending production delivery meetings to advise on file naming conventions and asset workflow processes. Training post-facility & creating new Launchpad accounts (VIDA’s high speed upload tool) for master file asset delivery. Spot checking & uploading assets via Launchpad & inputting metadata (when necessary) before moving assets into Hot and then Cold storage, as per company policy. Timely review of all production assets delivered directly to the library via Wetransfer or drive before backing up, as per company policy. Producing production ‘library delivery notes’ detailing all assets delivered to the library for Production Executive & Post-Production Supervisor. Managing company wide access and use of digital assets, via VIDA & Vimeo accounts. Overseeing the Avalon internal database to create metadata profiles for new assets and research existing assets; Collaborating with IT and applying own expertise to improve internal Library systems, including ongoing review of all cloud-based Wasabi asset content. Overseeing timely management of all Library job requests & internal recharges. Attending weekly library meetings with the Global Director of Operations, Post Production Supervisor and Factual Digital Asset Manager; Managing physical data storage including historic master tapes, rushes, hard drives & LTOs held on and off-site. Perform transcoding and editing of footage using Adobe Premiere Pro Including the creation of screeners, promotional clips and show-reels; (good understanding required) Updating and adhering to the Library manual and company policies. Managing the Library Coordinator and their workflow. Attending weekly Avalon Distribution team meetings to keep across their delivery schedules. Advising Avalon Distribution on any international or specific format queries. Collating & filing relevant post-production paperwork for onward distribution to licensees, such as post-production scripts; music cue sheets; key artwork, episode stills, billings and series synopsis. Managing Hot & Cold storage for Distribution in VIDA, as per company policy. Organising delivery of Distribution programme assets, metadata & post-production paperwork, directly, via VIDA or Visual Data to licensees including Broadcasters, SVOD services (e.g. Netflix and Amazon) and AVOD platforms (e.g. Roku, Peacock, Pluto). Overseeing inbound deliveries of production assets and support materials for Distribution from international licensees and partners. Obtaining file delivery quotes from Visual Data for Distribution sales purposes & once approved, raising PO’s & manging timely deliveries. Lastly, logging & checking sales invoices in Distributions internal tracker system. Ordering Distribution’s delivery master files and assets from the relevant Productions and track delivery of the same to Distribution. Liaising with Visual Data, Distribution, Broadcasters, Avalon Production Execs & Post-Production Supervisor to flag and resolve any technical issues, ensuring deadlines are communicated clearly and met in advance.
