Customer Experience and Lease Compliance Department
Vantage Operations ensures the overall health, maintenance, and performance of all mechanical and electrical systems, data modules, and customer service operations across our global portfolio. We build and maintain strong customer relationships by providing transparency into performance metrics, enabling proactive maintenance strategies, and ensuring contract compliance.
As part of the Vantage Operations team, the Customer Experience & Lease Compliance Department manages the entire customer lifecycle from lease inception. This includes ensuring data modules are delivered, monitored, and maintained per contractual obligations, supporting customer and audit requests, providing visibility into performance via our Customer Portal, tracking and reporting Service Level Agreements (SLAs), generating monthly electricity bills based on consumption, and delivering analytical insights for Operations and Executive Leadership. To ensure superior service, the department collaborates closely with all Vantage business units to drive customer success.
Position Overview
Vantage Data Centers is seeking a highly analytical, detail-oriented Billing & Reporting Assistant to support utility billing and reporting processes across all markets. The successful candidate will be responsible for executing the end-to-end utility billing process, ensuring compliance with contractual and regulatory requirements, and maintaining key performance indicators (KPIs). This role involves verifying and approving utility bills, conducting expense-to-revenue variance analysis, and producing capacity and financial reports.
The Billing & Reporting Assistant will also be responsible for running the current billing system using Microsoft Excel while assisting in the transition to a Power BI-driven reporting platform. This position requires strong analytical skills, expertise in data management, and the ability to work cross-functionally in a fast-paced environment.
Essential Job Functions
1. Manage and coordinate the monthly utility billing review and approval process.
2. Ensure compliance with Vantage standards and customer lease agreements.
3. Develop and maintain monthly KPI dashboards to monitor billing performance and efficiency.
4. Implement and enforce written policies and procedures governing the utility billing process.
5. Operate and maintain the current billing system in Microsoft Excel, ensuring data integrity and accuracy.
6. Assist in the design, development, and transition to a new Power BI-driven billing system.
7. Produce and manage capacity reports for all Vantage locations.
8. Collaborate with the Energy & Sustainability teams to optimize operational efficiency and effectiveness.
9. Interface with the ESG team to ensure their queries are addressed and they have access to the necessary billing and consumption data for sustainability reporting.
Duties
1. Oversee and optimize the utility billing process to ensure timely and accurate invoicing.
2. Develop and enforce quality assurance measures for all billing processes.
3. Assist with the implementation and integration of a new billing system based on Power BI.
4. Create and manage financial and statistical reports, leveraging Excel and Power BI for data visualization.
5. Generate monthly KPI dashboards, including metrics related to billing accuracy and Data Center Power Usage Effectiveness (PUE).
6. Ownership of Energy pricing forecasts sheets and data presentation.
7. Ownership of Energy Rate card.
8. Ownership of the logging of purchased energy for each region and presentation.
9. Develop capacity dashboards for all Vantage locations to support strategic planning.
10. Analyze and implement programming changes to customer utility billing statement templates.
11. Conduct planning and status meetings related to billing activities.
12. Verify the accuracy and completeness of monthly utility invoices.
13. Liaise with the Vantage Accounts Payable and Finance teams to ensure alignment on billing activities.
14. Attend project meetings related to data center construction buildouts and expansions.
15. Track and report capital expenditures associated with utility billing.
16. Support internal and external audits of the billing process, ensuring compliance and accuracy.
17. Interact with customers regarding utility billing inquiries and discrepancies.
18. Utilize internal Vantage tools to request, track, review, and approve billing-related activities.
Job Requirements
1. 2+ years of experience in billing, data analysis, or financial reporting.
2. Strong proficiency in data analysis, with advanced Microsoft Excel skills, including pivot tables, Power Query, and complex formulas.
3. Experience working with Power BI for data visualization and reporting is strongly preferred.
4. Strong problem-solving skills, with the ability to analyze data and drive efficiencies using metrics and reporting.
5. Experience with statistical analysis and billing operations concepts.
6. Knowledge of contract management, request-based ticketing systems, or graphical interface reporting software is advantageous.
7. Excellent communication skills with the ability to collaborate across departments in a global team environment.
8. Highly responsive and adaptable to the dynamic demands of a fast-growing organization.
9. Ability to manage multiple tasks and projects simultaneously with a high level of attention to detail.
10. Travel requirements for this role are expected to be less than 5%.
