What you’ll be doing: As the “voice of Mills”, you will be the first person our customers interact with. It is essential that you can effectively communicate on the telephone, stay professional under pressure, and multitask to direct calls and also complete your other job functions. Main Job Functions Switchboard - Operations: Answer incoming phone calls, direct calls to appropriate personnel, and take messages as necessary. Maintain an accurate company phone directory Distribute incoming company mailing list emails to the relevant departments. Manage incoming and outgoing mail, postal packages, and deliveries and direct to appropriate departments. Respond to inquiries and provide accurate information in a timely manner. Meet visitors in a friendly and professional manner, and direct as needed. Assist with resolving customer complaints or issues, escalating when necessary. Provide exceptional customer service to all clients, guests, and colleagues, ensuring a high level of professionalism and confidentiality in all interactions. Purchase milk for Units 2/3 and 1 as needed, typically two to three times per week. Maintain a clean and organised office, ensuring a positive first impression for all visitors. Ensure the canteen is clean and tidy at the beginning of the day, unload the dishwasher and top up the drinks. Unload the dishwasher and replenish beverages. Operations Administrative Support: Assist with various administrative tasks, including data entry, filing, and document preparation. Assist in the preparation of reports, presentations, and correspondence as needed. Arrange hotels, flights and hire cars for staff as required. Maintain an office supplies inventory and place stationery orders as needed. Control stock of refreshments for the Company and ensure items are purchased effectively. Maintain uniform information and order uniform when necessary. Carry out PPE reviews with engineers on a quarterly basis, ordering new equipment and distributing as necessary.
