The Role: The Dealership Administrator is responsible for supporting the smooth operation of the car dealership’s administrative functions. This role involves managing essential documentation, coordinating with team members and external parties, maintaining records, and ensuring compliance with all dealership policies. The ideal candidate will be organised, detail-oriented, and capable of multitasking in a fast-paced environment. Key Responsibilities: Manage, update, and maintain vehicle records, including sales, lease agreements, and vehicle history reports. Process new and used car registration and vehicle transfers in compliance with DVLA regulations. Ensure accurate data entry and filing of vehicle stock records. Act as a liaison between the dealership and customers to resolve administrative inquiries. Handle customer documentation, paperwork completion, and financial processing for transactions. Provide timely updates to sales team members on customer or vehicle-related paperwork. Prepare and manage invoicing, payments, and other financial documentation related to vehicle sales and service transactions. Ensure all paperwork complies with the regulatory standards, including MOT and insurance requirements. Stay updated on DVLA guidelines and relevant legal changes that impact dealership operations. Key Skills and Requirements: Previous experience in an administrative role is essential, ideally in an automotive or dealership environment. Strong organisational and multitasking skills. Proficiency in Microsoft Office Suite; experience with dealership management software is an advantage. Excellent verbal and written communication skills Highly detail-oriented, ensuring accuracy in all records and documents. Ability to resolve issues proactively and handle multiple priorities efficiently.
