Job Purpose:
As a Contracts Administrator, you will play a vital role in customer service, relationship management, and essential administrative functions. Your efforts will help create a safe and supportive environment for participants as they develop skills and earn a living wage.
Key Responsibilities:
* Provide administrative support to the Contracts Manager.
* Handle incoming calls and liaise effectively to provide timely responses.
* Monitor and manage the social enterprise email inbox, ensuring prompt replies.
* Maintain logs for health and safety prerequisites, ensuring compliance with regulations.
* Assist with the application and renewal process for professional memberships.
* Coordinate jobs from quotation to completion, ensuring all necessary documents are completed.
* Maintain a work tracker for active and planned jobs to facilitate effective planning.
* Support the onboarding process for new trainees and contractors.
* Act as a point of contact for contractor queries and payment processing.
* Collaborate with the finance officer to track invoices against planned jobs.
* Manage a database of subcontractors and potential clients.
* Monitor and update risk assessments for participants, liaising with referral partners.
* Ensure timely storage of electronic and paper documents while adhering to GDPR.
* Represent the organisation at networking events as an ambassador.
* Work with colleagues to produce engaging case studies and positive testimonials.
What We're Looking For:
Knowledge and Skills:
* Experience in administrative support within a fast-paced environment.
* Excellent written and verbal communication skills.
* Proficient in managing spreadsheets and databases.
* Understanding of administrative support in construction or facilities management.
* Experience with CAD plans and installation drawings is essential.
* Basic DBS required.
