JOB PURPOSE This role serves as a central point of contact for the London office and is responsible for managing and coordinating office logistics, handling administrative needs, processing expenses, performing basic bookkeeping, and liaising with the finance team. Additionally, this position oversees volunteer recruitment and management, as well as building and maintaining relationships with financial partners and supporters. MAIN RESPONSIBILITIES/ KEY DUTIES Financial Administration Process incoming funds, cheques, and banking transactions at the A21 UK Office (under the oversight and approval of the Finance Director) Manage and track receipts and expenses for the UK office Submit invoices directly to the EU Accountant Handle additional accounting tasks as assigned by the International Accountant, beyond regular weekly check processing and company matching programs Maintain consistent communication and reporting with the EU Accountant and Finance Team Office Administration Support all correspondence, emails, and phone enquiries related to A21 UK, ensuring timely and professional responses. Assist with financial supporter care, maintaining regular communication and contact in line with our outreach strategy and GDPR compliance. Plan and schedule weekly team meetings, coordinating with UK and international staff to facilitate hosting, training, team-building activities, and interdepartmental knowledge-sharing. Provide administrative support for supporter relations, including managing fundraising pages, handling failed payments, processing donations, sending thank-you cards, and maintaining our CRM (Clarety) accounts. Assist with correspondence and inquiries for key campaigns, including End of Year Giving, Christmas Hamper Project, Birthday Campaigns, Walk For Freedom, and Can You See Me? Handle public enquiries via phone, mail, email, social media, and LinkedIn, with oversight from the Marketing, PR, and Legal teams. Oversee the office filing systems, ensuring all files are organised and compliant with A21 policies and guidelines. Volunteer Coordination Manage volunteer recruitment, onboarding, and task assignments for A21 UK, updating and developing the volunteer programme to meet evolving staff needs and event requirements. Oversee volunteer activities and support recruitment efforts for the A21 UK Office. Data Management Maintain and update our partner database, ensuring communication preferences are current and accurate per the A21 Global Data Processing Policy. Record all necessary information in our database in accordance with data protection policies, helping maintain the integrity and accuracy of supporter and partner data.
