The Camp Operations Manager is responsible for overseeing the daily logistics and operational success of the camp, ensuring a safe, organised, and enjoyable experience for all participants, staff, and stakeholders. This role involves managing facilities, schedules, transportation, and staff coordination while adhering to safety protocols and maintaining the highest standards of service.
WHAT YOU’LL DO
1. Manage player registration and departure days, acting as the lead member of staff on the front desk and completing the check-in and check-out processes.
2. Act as an initial on-site contact point for all enquiries (written and verbal) from parents and venue partners.
3. Maintain accurate and up-to-date records of all participants, including staff and visitors, on-site.
4. Compile daily operational reports, including facility usage, payroll, and financial updates, in liaison with Head Office.
5. Act as the main liaison with key stakeholders to confirm facility bookings and notify Senior Staff of any changes or inconsistencies with the scheduled program.
6. Manage room allocations, catering needs, and weekly logistical requirements, maintaining communication with venue partners to ensure smooth operations.
7. Prepare and distribute weekly on-site documentation to camp staff, including registers, timetables, and room lists.
8. Manage camp resources, replenish stock as necessary, and manage camp budget and expenditure.
9. In collaboration with Head Office, coordinate the distribution of all kit, equipment, and merchandise.
10. Responsible for on-site kit and equipment inventories, including recording stock levels.
11. Organise on-site staff inductions/departures. Issue uniform, keys, access cards, and radios.
12. Work with Head Office/the airport transfers team to ensure travel arrangements are accurate and deal with any issues if they arise from airport arrivals and departures.
13. Manage communications with Head Office and external transport providers regarding logistics and planning for weekly excursions.
14. Support the senior management team to ensure health and safety documentation is up to date and filed accurately.
15. Comply with Health and Safety regulations in accordance with current legislation and Company Health and Safety Policy and Procedures.
16. Comply with data protection regulations in accordance with current legislation.
17. Undertake additional duties as necessary to ensure the smooth running of the program.
PERSON SPECIFICATION
All staff will contribute to the overall smooth running of the camp. Ultimately, the safety of children is paramount, and the high standards expected of working with top brands need to be maintained. We expect high personal standards, friendly, positive, and approachable staff who will always remain professional and calm. Staff will be able to handle sensitive situations well, adhering to confidentiality and data protection guidance, have excellent organisational skills, be good role models, and be able to contribute to a positive working environment.
THE IDEAL CANDIDATE WILL HAVE
1. A high level of administrative and/or event management experience.
2. Excellent written and verbal communication skills.
3. Strong organisational skills, with high attention to detail.
4. Initiative and the capacity to solve problems.
5. Accuracy under pressure.
6. The ability to multitask and prioritise workload effectively.
7. Comprehensive understanding of the importance of confidentiality and data protection.
8. Advanced IT skills, including Microsoft Office and experience using database systems.
9. Available for at least 4+ consecutive weeks between June and July.
