The Vacancy
The Personal Assistant will work closely with and support team members within our Insights & Analytics area. You will provide high level administrative and secretarial support and act as a point of contact. You will be highly motivated and possess attributes around planning, organising and attention to detail. There will be a mixture of autonomous working and work where direct support is provided to others. Insights & Analytics are about driving our advancement of digital excellence across a wide range of competencies - the successful candidate will play a part in reaching this goal.
Key responsibilities will include:
1. Proactively manage diaries by responding to internal and external meeting requests and rearranging where necessary.
2. Outlook inbox management – monitor and prioritise emails for action.
3. Meeting administration – preparing agendas, attendance at meetings, including minute taking and monitoring of actions.
4. Communication with colleagues across the firm.
5. Proactively arrange all travel and accommodation requirements.
6. Process, monitor and retain records of expenses.
7. Coordinate elements of digital project work, including arranging workshops and other events.
8. Ad hoc associated Personal Assistant duties.
9. Adhere to the firm’s mandatory policies including Information Security standards.
To be successful in this role, you will:
10. Have experience as a Personal Assistant or a similar role.
11. Be proficient in Microsoft Office.
12. Have excellent planning and organisational skills.
13. Have strong interpersonal and communication skills.
