Position: Administrator and Bookkeeper
Reports To: Managing Director / Operations Manager
Job Type: Full-time / Part-time (flexible based on candidate's availability)
We are seeking a motivated and highly organised individual to join our growing construction company based near Canterbury, Kent. The role combines administrative duties and bookkeeping responsibilities, ensuring the smooth day-to-day operations of the business. You will play a key part in supporting the management team, handling financial records, and maintaining office organisation.
Administration:
* Act as the first point of contact for phone calls, emails, and general enquiries.
* Manage and maintain company files, ensuring they are updated, accessible, and secure.
* Schedule and coordinate appointments, meetings, and site visits for the management team.
* Handle office correspondence, including letter writing, emails, and client communications.
* Organise and maintain office supplies, ensuring stock levels are managed effectively.
* Assist in the preparation of reports, presentations, and other administrative documents.
* Liaise with clients, suppliers, and subcontractors to ensure timely communication and efficient workflow.
* Help with recruitment, onboarding, and HR-related tasks, including maintaining employee records.
* Provide general administrative support to the senior management team and project managers as needed.
Bookkeeping:
* Manage day-to-day bookkeeping tasks, including processing invoices, bills, and receipts.
* Record all financial transactions in the company’s accounting software (e.g., QuickBooks, Xero).
* Reconcile company bank accounts and credit cards, ensuring accuracy and completeness.
* Maintain accurate records of employee payroll, including calculating and processing payments.
* Prepare and submit VAT returns in compliance with HMRC regulations.
* Prepare financial statements and reports for the company’s management, including profit and loss accounts, balance sheets, and cash flow forecasts.
* Track and manage outstanding accounts receivable and payable, ensuring timely payments.
* Assist in budgeting and financial planning, offering insight on cost control and business efficiency.
Health and Safety / Compliance Support:
* Support compliance with health and safety regulations, ensuring all paperwork is in place.
* Maintain necessary records for the company’s insurance, permits, and certifications.
* Assist with preparing documents for audits, tax submissions, and any regulatory requirements.
Skills & Experience Required:
* Proven experience in a similar administrative or bookkeeping role, preferably in the construction industry.
* Strong understanding of accounting software and Microsoft Office Suite (Excel, Word, etc.).
* Experience with payroll processing and VAT returns is highly desirable.
* Excellent organisational and time-management skills, with the ability to handle multiple tasks.
* Strong communication skills, both written and verbal.
* Ability to work independently and as part of a team.
* High level of attention to detail and accuracy.
* Familiarity with construction industry terminology and processes is a plus.
Qualifications:
* AAT Level 2 or 3 certification (or equivalent experience) is preferred.
* Previous experience in a bookkeeping role, particularly in construction, is an advantage.
* GCSEs (or equivalent) in Maths and English required.
Working Environment:
* This position will be based in our office in SE Kent. Occasional travel to construction sites may be required.
* Flexible working hours may be available.
