Hours: 37.5 hours per week; all MKUH roles will be considered for flexible working.
Patient Access has an exciting opportunity for 1 x 37.5 hours Medical Records Clerk Apprentice to join the team on an 18-month fixed term contract. Experience of using Microsoft packages is essential. Training will be provided on eCare and the patient administration systems used, if needed. The successful applicants must demonstrate exceptional organisational skills and the ability to multitask while prioritising tasks. The role can be very busy with varying demands depending on the needs of the service. Therefore, the successful applicants must always be able to work well under pressure, remaining courteous and professional. They must be flexible to the changing needs of the department and teams, as needed, and enjoy working as part of a large team. Excellent keyboard skills are required, and you will be working within a large team to deliver on performance targets.

Main duties of the job
To apply, you must have evidence of Maths & English GCSE passes (or equivalent) and meet the following conditions:
1. You are 16 years old or over.
2. You have resided in the UK or EEA for at least the past 3 years.
3. You can produce evidence of your Maths & English GCSE (or equivalent) qualifications.
4. You will not be in full-time education at the point of starting this role.
5. You have not previously undertaken a similar or higher qualification (e.g., a BSc or MSc in Business Administration).
Please bring your Maths and English certificates with you to the interview, should you be invited.
This role is a fixed term contract lasting 18 months. For the first 12 months of the apprenticeship, you will be paid the national apprentice wage. From months 13 to the end of the contract, you will receive the national pay based on your age. Should you complete your course earlier than planned, your contract may finish before month 18 in line with Apprenticeship guidelines.

Job responsibilities
You will complete the Business Administration level 3 apprenticeship as part of your role, which will be delivered by our external provider. In addition to your daily work on-site, you will take part in interactive workshops and be assigned a tutor and a mentor to support your development on the course.
Your responsibilities will include:
* Using visual display units and other technical equipment located in the section.
* Preparing files for use at Outpatient Clinics or for Inpatient or Day Case stays in accordance with laid down instructions.
* Dealing with requirements for add-on clinics.
* Collecting and delivering patient files around the hospital site.
* Managing the destruction of patient files in accordance with the agreed guidelines.
* Opening and date stamping incoming mail.
* Dealing with telephone queries politely and promptly.
* Updating patient demographics from information received (e.g., from Doctors, Patients, Quality Team).
* Preparing documents for scanning, including removing staples and paperclips, straightening/unfolding documents, inserting batch headers, and applying bar code labels.
* Scanning prepared documents efficiently, ensuring they are scanned to the appropriate patient record.
* Being fully conversant with back-up procedures for use in the event of a malfunction of the EDM system.
* Keeping up to date with the Data Protection Act 1998; the Access to Health Records Act 1990; and the latest guidance issued by the Trust's Data Protection Officer and Caldicott Guardian.
* Participating in Departmental and Sectional training as directed by the Outpatient Admin Manager.
* Complying with policies and procedures as laid down by the Health Records Manager.
