ABOUT THIS ROLE As the Facilities Manager you will fulfill a crucial role within our business, to be the face of the Company every day and provide a great experiences to our employees, partners, suppliers, candidates and visitors at our site. Ensuring we are operating with a health & safety-first mindset to liaising with all office service providers and suppliers. To be the first point of contact, to greet and direct visitors, suppliers, and induct new joiners, and to be seen as well informed for anything facilities related, you will be integral in creating a positive, professional, healthy safe and engaged work environment. The role is site based full time 5 days a week, based out of our Cambridge office (CB21) JOB ROLE AND RESPONSIBILITIES General Office Management Overall responsibility for the smooth running of ghd’s Cambridge office. Responsible for the smooth flow of deliveries both in and out of the office, ensuring effective distribution, ensure deliveries are safe and secured and do not present tripping hazards. Monitor and oversee the level of service provided by the cleaning contractors. Ensure adequate stock levels of housekeeping materials (office, kitchen, loo and first) are maintained. Organise lunches, and refreshments for management committee and external meetings as requested. Conduct regular floor walks to ensure no safety hazards and kitchens are well stocked. Review all invoices, raise PO’s and claim expenses monthly. Ad hoc tasks/projects in line with reasonable management instruction. Support the EAs with events and as requested. Work collaboratively with IT team to ensure the site is well run in terms of IT needs identifying any ongoing issues and support the resolution. Continuous improvement of the office environment, enhancing processes, communicating to employees and driving excellence. Health & Safety Management of Cambridge Health and Safety committee Provide H&S guidance and training to staff and new joiners on safe working practices. Ensure all visitors are aware of the fire procedure and emergency exits. Ensure there are always the required number of First Aiders and Fire Marshalls on site vs number of colleagues. Manager Cambridge Fire Marshall committee Main point of contact for the building’s facilities management Arrange and record on-site maintenance, services and reports as necessary. Arrange First Aider and Fire Marshall training as required. Employee Engagement Work collaboratively with People Team and EA’s to support site based employee engagement initiatives. Arrange events, activations and continuous enhancement bringing ghd Values to life and our brand. Gain regular feedback, taking action and making adjustments accordingly. Work within set budget and ensuring appropriate spend. Risk Management & Reporting Create contingency plans for holiday and sickness cover. Provide a detailed monthly update to line manager and Global Director Of People. Custodian of the site BCP, keep up to date and communicate to all site employees. Work closely with finance partner to ensure accurate recording of invoices and reporting for site expenditure. Others Coordinate and invite a committee to organise the Good Care Days event
