Job Title: Operations Admin
Location: Aberdeen, Scotland, UK
Job Type: Full-time contract, 06 Months
Summary:
Responsible for supporting the business with Operations administration, mainly Client team but supporting all teams - costs/NSRs.
Job Duties/Responsibilities:
1. Maintain department tracking sheets for Equipment costs and personnel costs.
2. Utilise Oracle to identify efficiencies in spend.
3. Utilise Maximo for creating requisitions and managing equipment mobilization and demobilization.
4. Ensure timely execution of orders, instructions, and directions from the UK Operations Manager or delegate.
5. Contribute to pre-jobs and post jobs with account managers to complete and track paperwork.
6. Scan job paperwork into the correct job folders.
7. Maintain effective communication with suppliers to secure the best deals on 3rd party rentals.
8. Contribute to the HSE, Quality, and Compliance culture through the UK as part of the operations team.
9. Develop and maintain a yearly project plan/tracker for all work scopes for the next financial year.
10. Participate in the On-call rota (Full-time personnel only).
11. Perform other assigned duties as required.
12. Cover tasks in the Personnel or Client Team for holiday and sick leave cover.
13. Create beneficial spreadsheets for the department.
Qualifications:
1. Knowledge of Maximo or Oracle is advantageous.
2. Excellent Microsoft Office skills.
3. Strong interpersonal skills are essential.
4. Highly organized and methodical.
5. Excellent verbal and written communication skills.
6. Exemplary record keeping and attention to detail.
7. Self-starter who can work with little to no supervision.
8. CRM Experience (Fieldglass).
