Job Opportunity: Administration Officer
We are seeking a committed and organised Administration Officer to join our team and play a vital role in ensuring our operations run smoothly. This position involves supporting key administrative tasks, managing staff schedules, assisting with payroll, and maintaining compliance to help deliver the high standards of care we are known for.
The Administration Officer will work closely with the Operations Manager, assisting in the daily management of business support functions, including data management, correspondence handling, and communication with stakeholders. You will use tools such as Microsoft Office and our scheduling platform, RoundSy, to maintain records, produce reports, and provide exceptional support to our team and clients.
Key Responsibilities:
Business Support: Providing efficient, confidential administrative services, including word processing, data input, filing, and task management across various systems.
Rota Management: Preparing staff rotas, ensuring schedules are planned at least two weeks in advance, and making necessary adjustments to ensure smooth operations.
Timesheet and Payroll Processing: Verifying timesheets, reconciling discrepancies, and assisting with payroll preparation to ensure accuracy and confidentiality.
Compliance and Reporting: Maintaining accurate records across electronic and paper-based systems, producing reports, and supporting compliance with regulatory standards.
Stakeholder Liaison: Handling phone and in-person enquiries, collaborating with internal and external partners, and ensuring timely responses to correspondence.
General Administration: Supporting meetings, recruitment activities, staff training, and other operational needs to ensure our services are delivered effectively.
Key Skills and Qualifications:
Proficiency in Microsoft Office, including Excel, Word, and email tools.
Excellent attention to detail, particularly with timesheets, payroll, and data management.
Strong communication skills for interacting with colleagues, clients, and stakeholders.
Ability to work independently, manage workloads, and prioritise tasks to meet deadlines.
Familiarity with rota management systems like RoundSy is an advantage, though training will be provided.
A professional and supportive approach to handling queries and resolving complaints.

Additional Information:
This is a part-time, office-based role in Barnsley, South Yorkshire. Working hours are approximately 24 per week, spread over three days (preferably Monday, Wednesday, and Friday).
