My client is a hugely impressive, slick asset management firm with the aim of moving away from traditional Asset Management practices. This fresh approach makes for a dynamic and fast-paced environment, and we are looking for a proactive and experienced Office Administrator to join the growing team. This role includes a variety of tasks, from Office Management, finance administration and assistance with HR functions when the HR manager is maternity leave. This role would suit a jack of all trades candidates – someone who has experience doing a little of everything.
* Office Ordering: Manage and maintain office supplies, placing orders and ensuring inventory is up to date.
* Contractor and Office Maintenance Management: Coordinate with contractors for office maintenance, including cleaners, printer services, and landlord-related tasks (e.g. fobs).
* Ad Hoc Letter Writing Assistance: Support the Chief Operating Officer (COO) in drafting and preparing ad hoc correspondence as needed.
* IT Support: Assist with IT-related queries, including troubleshooting, ordering new IT equipment, and liaising with IT service providers.
* Health and Safety: Handle health and safety requirements as necessary, ensuring the office environment complies with regulations.
Finance Administrator Roles and Responsibilities:
* Financial Record Management: Accurately record all financial transactions, including accounts payable, accounts receivable, and general ledger entries.
* Bank Reconciliation: Reconcile bank statements and ensure all discrepancies are addressed promptly.
* Invoicing and Payments: Prepare and issue invoices, process payments, and follow up on overdue accounts.
* Expense Tracking: Monitor company expenses and ensure they are recorded appropriately.
HR
* Additional responsibility on an Ad Hoc bases for example, diarising annual reviews, onboarding of new starters, health insurance enquiries and internship program support (annually).
* Covering for the HR manager whilst she is on maternity leave – helping with recruitment, managing annual leave tracking etc.
