School Administrator - Sutton

Title of Post: School Administrator
Salary: £15 per hour PAYE
Start Date: As soon as possible
Location: Sutton, London
Full or Part time: Full time
Hours: 36 hours per week Monday - Friday
8. 00am - 3.30 Monday, Tuesday
8.00am - 4.30 Wednesday
8.00am - 3.30 Thursday, Friday
(which includes a 30 minute unpaid lunch break)
Term time (which includes 5 INSET days) + 1 week = 40 weeks
Responsible to: Heads PA
GENERAL PURPOSE OF THE JOB
You will be based in the main school reception where you will be working as part of the school office team to share responsibility for school office duties, whole school reprographics and providing an efficient, friendly and welcoming service to all visitors to the school and to deal with any queries as a point of contact at Student Services, which will include being a member of the First Aid team.

SPECIFIC DUTIES
School Office Duties
1. To sort incoming post and distribute to the staff room on a daily basis.
2. To frank out-going post.
3. To shred general and confidential papers when necessary.
4. Update staff pigeon holes and door name plates as and when required.
5. To be responsible for all school and student filing.
Student Services and Reception Duties
6. To be jointly responsible for ensuring Student Services, reception and the first aid/treatment room is tidy and well maintained and staffed during the agreed opening times.
7. To be responsible for students signing in/out of school.
8. Co-ordinating services for students including locker keys.
Student Lockers
9. To organise the return of locker keys from students before they leave the school, in particular years 11 and 13 prior to their exam period.
Reprographic Duties
10. To ensure that machines are maintained in good order.
11. To be trained in the use of the reprographic machines and associated software.
12. To carry our reprographic work for the whole school.
13. To prepare work for reproduction, for example newsletters, calendars, exam papers and similar items.
14. To record and report on the monthly usage by department.
15. To ensure that print machines are full of paper and in good working order.
16. To maintain adequate supplies of school forms.
Medical Needs Administration
You will be one of the designated member of office staff who will:
17. Keep records for students with long term medical needs.
18. Keep records for students with care plans.
19. Keep records for students with prescription medication held in school.
First Aid duties
20. To administer first aid (must be trained first aider, or willing to undertake training) and accompany students to hospital if necessary.
21. To assist students who are unwell in school, including contacting parents or carers when a student needs to be sent home.
General
22. General duties as required by your Line Manager.
23. To become familiar with the differing roles of other members of the School Office Team in case of absence.
