Job overview
An exciting opportunity has arisen within the Community Mental Health Teams for a Receptionist based at Crossgate House in Sale. The post holder will answer telephones, greet clinical and clerical staff and ensure all reception processes are carried out in a timely and accurate manner. The postholder will provide an efficient and professional reception service ensuring quality service to all users. A flexible approach in providing admin support to the multi-disciplinary teams working with a client group with mental health difficulties is essential, as there will be client and carer telephone contact.
To meet the needs of the Trust services, you may be required from time to time to work outside of your normal area of work. The Trust reserves the right to change your normal area of work to any other location within the Trust. There may be a requirement to provide cover for other Trafford sites reception areas.
Main duties of the job
* Provide admin support to the clinical team
* Ensure that sufficient stocks of stationery are available to meet the needs of the team without resorting to stockpiling.
* Monitor your own performance against agreed objectives as identified in your appraisal.
* Ensure general tidiness of the reception area.
* Support colleagues appropriately with tasks to be carried out whilst covering reception duties.
* Record messages accurately and direct them to the appropriate member of staff.
* Deal efficiently, precisely, and courteously with telephone calls.
* Be the first point of contact for our service users, carers/relatives, displaying a warm, friendly, and helpful attitude, including recording information accurately on Paris.
* Check all patients’ demographic details are complete and updated on the Paris system.
Person specification
Education/Qualifications
* RSA level 2, NVQ level 2 or equivalent experience. Educated to GCSE level for English and Maths.
* Other relevant IT qualifications.
Experience
* Experience of working in a busy office environment.
* Experience of maintaining confidentiality in an office environment.
* Experience of working with members of the public, including patients/service users.
* Familiarity with all office equipment.
* Experience of working in a healthcare setting.
* Experience using Electronic Patient Record systems.
Skills and Abilities
* Effective time management skills.
* Ability to prioritise and plan conflicting and complex work demands.
* Excellent telephone manner and outstanding communication skills.
* Advanced keyboard skills.
* Ability to navigate IT systems, including Excel, Word, and PowerPoint.
* A caring and sensitive attitude when communicating with staff and patients.
* Ability to be numerate and provide statistical data accurately.
* Knowledge of the EPR system and MS Teams.
Knowledge
* Understanding of the Data Protection Act and Patient Confidentiality.
* Awareness of mental health issues and challenges.
