Role: MBA Programme Manager
Grade and Salary: Grade 6, £30,505 - £35,880 per annum
FTE and working pattern: 1 FTE, 35hrs per week, Monday - Friday
Holiday Entitlement: 33 days annual leave plus 9 buildings closed days (and Christmas Eve when it falls on a weekday)
Purpose of Role
Edinburgh Business School is looking to appoint a full-time Manager to administer the delivery of our largest programme, the Master of Business Administration, which has over 6000 active students across the globe. The role holder will be responsible for providing high-quality day-to-day administrative, coordination, and secretarial support to the Academic Lead for the MBA Programme. The role holder will also provide administrative support for a wide range of activities required to support all aspects of the programme and its students (past and present).
The successful applicant will have a proven track record in the delivery of administrative services to senior staff and will be relied upon to provide an excellent administrative service to a wide range of stakeholders.
The ability to initiate and complete tasks to the highest standard is essential. Excellent organisational, interpersonal, and communication skills are also vital to this role, as are strong IT skills (particularly with Microsoft Office Packages). Applicants should also have experience of working in a customer-oriented role. The role will suit a self-motivated individual who is able to work flexibly as a member of a team within a challenging and dynamic environment.
The work will be varied, and the post holder will be expected to be able to deliver a fair, friendly, and timely service to all our students and staff. All the support services within the school are committed to delivering a customer-focused service to students, staff, and visitors. Key Duties & Responsibilities
Reporting to the School’s Head of Operations, and working closely with the Academic Lead for the Master of Business Administration global programmes, the post-holder will:
* Support the Global MBA Director and the on-campus programme directors with the delivery of all modes and specialisms of the MBA and provide related support to the Director of Online Education relevant to the MBA.
* Work with academic colleagues to develop and maintain timelines for MBA programme and course development and keep senior colleagues informed of progress/upcoming activity.
* Advise and support the MBA team and collaborative partners on academic process requirements related to GCM and other systems to support MBA Development. Interpret and advise academic colleagues on international academic regulatory bodies' rules and regulations around MBA programmes.
* Liaise with academic colleagues to ensure the timely completion and submission of any MBA accreditation reports, Academic Quality, or relevant Management reports relating to the programme.
* Develop and manage the MBA study visit programme across multiple campuses. Manage the MBA weekend workshop programme for the Edinburgh Campus. Support and manage relevant new and existing partner visits relevant to the MBA programme and provide wider school support for other visits and events organised by Edinburgh Business School.
* Develop and manage relationships with a wide range of Industry partners to support external input into the MBA programme. Work with the wider ‘Global Changemaker’ team to include industry contributions from that initiative within the MBA programme. Ensure effective communication between MBA Tutors and teachers in external partner organisations with MBA staff ensuring clarity and communication of developments and monitor feedback from external partners around programme issues and improvements.
* Organise and support all formal boards relative to the MBA, including the Board of Studies, Assessment and Progression Boards, and Collaborative Boards of Studies with partners.
* Plan and organise the rolling MBA soft skills programme.
* Plan and organise the supplementary face-to-face MBA workshops.
* Support MBA clubs and develop and support virtual social events.
* Work with the Watt Club and specifically MBA Alumni.
* Administer and support the MBA specific LinkedIn and social media sites.
* Work collaboratively and effectively with colleagues in the wider Professional Services team with particular reference to supporting events.
* Work collaboratively with a variety of relevant University central services, in particular Heriot-Watt Online.
Essential & Desirable Criteria
Essential
1. Educated to at least SCQF level 6-7 or similar or equivalent practical experience in the workplace.
2. Experience of working within the HE sector or a similar environment as outlined above.
3. Experience of working with postgraduate programmes in an international HE environment.
4. Experience of working in a support role for a senior member of staff.
5. Fully proficient in the use of relevant IT packages and databases, including MS Word, Excel, Outlook, SharePoint, and PowerPoint.
6. Experience of building and developing networks and relationships with internal and external stakeholders.
7. Experience of project coordination and associated activities.
8. Experience of event planning/organising partnership and external body visits.
9. Excellent interpersonal and communication skills.
10. Ability to communicate appropriately and establish strong working relationships with students, staff, and external contacts.
Desirable
1. Educated to HNC, or equivalent.
2. Ability to exercise initiative and responsibility in problem-solving.
3. Demonstrable excellent customer service skills.
4. Experience of working with Databases, PowerPoint, and Virtual Learning Environment packages.
5. Experience of working to strict deadlines.
