ABOUT THIS ROLE
Working hours are from 8:00 am - 4:00 pm, Monday - Friday.
As our Office Manager - Customer Service Representative, you tackle essential administrative matters and support efficient business operations. You speak with customers over the phone, learn about their HVAC needs, and answer any questions. Attentive to detail, you accurately enter information into ServiceTitan and monitor our field technicians' progress. Communication is crucial and a positive, professional attitude is a must. You provide invaluable administrative support and jump in where needed to help keep our workdays smooth.
Job Duties and Responsibilities
* Manage administrative operations including customer service, dispatching, scheduling, and invoicing.
* Use ServiceTitan to schedule and manage service appointments.
* Assist in optimizing workflows and support business growth.
* Handle all inbound customer calls and ensure that the customer experience is excellent.
* Respond to customer inquiries, resolve issues, and ensure a positive experience.
* Allocate resources efficiently and proactively resolve scheduling conflicts.
* Maintain clear communication with customers, field staff, and management.
* Track customer information and appointments.
* Support team collaboration and contribute to improving customer service processes.
* Be punctual, confident in communication, and open to feedback.
* Filing, making copies, printing, and any other pertinent administrative responsibilities as assigned.
WHAT WE'RE LOOKING FOR
* ServiceTitan experience is a must (HVAC knowledge is preferred).
* Strong communication and customer service skills.
* Ability to multitask and stay organized in a fast-paced environment.
* Experience in scheduling, dispatching, or office administration.
* Comfortable using scheduling software and basic computer programs.
* Reliable, detail-oriented, and a team player.
