The Scheduling Coordinator is responsible for end-to-end planning of broadcast events for new and existing clients in the most efficient and cost-effective manner, working in a fast paced, high pressure environment. The coordinator needs to be able to react quickly to ever changing requirements and work closely with commercial and operations departments to overcome challenges.
The role will also undertake bookings and scheduling tasks working as part of the wider operational team to take responsibility of events from quotation stage, through scheduling and planning to the final billing stage.
This role encompasses a working pattern consisting of a nominal 5 day working week including rostered weekends one in six (prescheduled at least 6 months in advance). Nominal 37.5 hours week and public holiday working. Pre-approved overtime payable at 1.5 time and half.
Reporting Lines and Key Relationships
The role reports to the Client Services Manager.
Key Responsibilities
1. Be accountable for full planning of events liaising with clients and taking ownership for all parts of the planning process.
2. Scheduling of internal and external technical components of the request and people resource.
3. Ensure that the most efficient and effective methods of delivery for the event are undertaken, ensuring that best value for both client and NEP Connect are achieved.
4. Booking of travel for field staff.
5. Self-start attitude and willingness to deliver.
6. Appropriate costings/draught and billing information to be correctly understood and entered into the ScheduALL system.
7. Proactively seek opportunities to upsell services NEP Connect offers to the client.
8. Administration of ScheduALL system in line with business processes and needs.
Customer Focus
1. Develop and build effective relationships with external Customers (BBC, ITV, ITN, Sky, ETP etc.).
2. Build effective relations with internal departments including Commercial, Operations and Engineering teams to better understand customer needs.
3. Assist with acquiring new business by constantly having a customer focused attitude.
4. React to immediate customer requests for broadcast bookings, including satellite capacity.
5. Upsell where applicable to drive business growth and profitability for NEP Connect.
6. Be flexible and embrace ever changing customer requirements in a fast-moving environment.
7. Schedule all field staff and drivers and inform them in good time of any changes to schedules.

Skills and Experience

4. Ability to cope with pressure within a fast-paced environment (News and Sport).

6. To maintain and build on existing relationships with broadcast suppliers.
7. Operation of ScheduALL scheduling system or 2 years’ experience of logistical planning.
8. Proficient in planning broadcast events, creating detailed schematic drawings used by both Network Operations Centre Control and Engineer (Uplink SNG Engineers), detailing all technical requirements and organizing and scheduling all elements of the service.
9. Experience of licensing of broadcast and communication frequencies with external companies and regulators.
10. Understanding and familiarity of broadcast terminology and technology.
