• Provide the first point of contact for the department and dealing with queries, as appropriate, or delegating where possible to other staff in the department.
• Providing management of the local office and ensuring prioritisation of workload to meet deadlines and flow of correspondence, as necessary. This will include ensuring the timely turnaround of outpatient letters, clinic results and other correspondence, as appropriate.
• Provide appropriate cover for the other secretarial staff in the department if they are absent from the office (including across all hospital sites).
• From on-call rota, identifying the need for clinic cancellation, including preparation of relevant clinic change forms in accordance with Trust policy
• Identify the need for clinic cancellations following request for leave from clinicians, and preparation of relevant paperwork, ensuring that all modifications and changes to clinics are in line with 6 week cancellation time frame.
• Liaison with the cardiology booking team to ensure optimisation of outpatient clinics – particularly urgent appointments.
• Minute taking for departmental meetings.
• To provide guidance and training for more junior members of the team, acting as a mentor to Trainee medical secretaries in the department.
Work with all junior secretarial and administration staff to ensure annual leave is planned throughout the year, ensuring office cover and secretarial support is provided within specialty or across specialties. This may involve undertaking any of the duties of the employee on annual leave, or providing advice and support to locum employees and other support staff.
