Job Title: Site Administrator
Working Hours: Monday – Friday 8am-4pm

Salary: £12.50

The position is crucial in ensuring smooth operations and efficient coordination of the site orders.
Responsible for handling various administrative tasks that contribute to the organisation’s overall success, you are required to collaborate with managers to determine the resources required for the site, this includes ensuring the availability of raw materials and coordinating communication.
Responsibilities:
1. Using a range of office software, including email, spreadsheets, databases and SAP (training on SAP will be given).
2. Raising purchase orders for the site using SAP.
3. Site liaison with the overseas accounts payable department to ensure payments to all vendors run smoothly and are done promptly.
4. Managing filing systems.
5. Responding to internal/external vendor enquiries and complaints.
6. Attending conference calls and training.
7. Oversee all aspects of general office coordination.
8. Maintain office calendar to coordinate meetings.
9. Maintain confidentiality in all aspects of vendor, staff and company information.
10. Front of house making sure all vendors are signed in and are aware of the site health & safety requirements.
11. Answer telephones and transfer to the appropriate staff member.
12. Open, sort and distribute incoming correspondence.
13. Prepare responses to correspondence containing routine inquiries.
14. File and retrieve organizational documents, records and reports.
15. Coordinate and maintain records for staff holiday/ LT monitoring.
16. Schedule and coordinate meetings, appointments and occasional travel arrangements for managers.
