Operations Assistant – Join Our Fast-Paced Drainage Division! Sevenoaks £30K-£35K DOE
Are you an organised, proactive individual with a knack for administration and a passion for efficiency? We’re looking for a dynamic Operations Assistant to support the day-to-day operations of our Drainage Division, helping us maintain seamless processes and exceptional service. This role is ideal for someone with strong administration skills, attention to detail, and the ability to thrive in a varied, fast-paced environment.
Key Responsibilities:
* Scheduling & CRM Management: Coordinate job schedules and manage the team’s diary using our Big Change CRM system, collaborating closely with the Operations Manager.
* Workload & Resource Planning: Plan and optimise workloads, routes, and resources to ensure cost-effective and timely service.
* Customer & Team Liaison: Act as the primary contact for both customers and our team of Cleaning Technicians, ensuring smooth communication and workflow.
* Inventory & Stock Control: Oversee stock management, track inventory, and maintain accurate records.
* Document Management: Prepare and amend post-job reports, certificates, and RAMS documents, ensuring timely distribution to relevant stakeholders.
* Purchasing & Supplier Coordination: Source materials and services required for project delivery, maintaining cost efficiency in consultation with the Operations Manager.
* Database Accuracy: Ensure data integrity in our internal systems, keeping our project information accurate and up to date.
What You Bring:
* Experience: Minimum of 2 years in office administration, ideally within an operations or logistics environment.
* Technical Skills: Proficiency in IT systems, including spreadsheets, word processing, and CRM databases.
* Communication: Strong verbal and written communication skills, comfortable engaging with team members and clients at all levels.
* Organisational Skills: Exceptional time management, with the ability to prioritise effectively and handle competing priorities.
* Attention to Detail: Accuracy in data entry, report generation, and maintaining sensitive information.
Qualifications:
* A good level of Maths and English, with the ability to perform routine calculations.
* Proven experience in a fast-paced office or operational environment.
* Confidence in drafting reports and communicating clearly across departments.
