Purpose
To achieve the required competencies in identifying potential fast track total loss claims and directing them to the relevant departments, both within Vizion's own internal departments and Clients Total Loss/Engineering teams, to confirm vehicle is a total loss. Including the relevant administration tasks to fulfil the process.
Using the back ordered parts information provided from our systems, you will work with our repair network and suppliers to drive down the parts back-orders issues across the Repair Network. All actions undertaken are to be logged on outcome trackers.
Role Profile
* Act as a first level point of contact for customers, clients, repair network members, suppliers, and partners.
* Self-manage your daily workload to ensure efficiency is maintained in line with volume requirements for fast-track total loss and back ordered parts.
* Receive incoming calls/emails and act promptly, dealing with all enquiries or actions in a professional manner.
* Process and resolve fast track total loss vehicles to a confirmed outcome.
* Work with the Repair Network to reduce the volume of outstanding parts on back order using the systems and suppliers available to you.
* Maintain all spreadsheets for both fast track total loss and back ordered parts, including monthly reporting.
* Highlight to Line Manager any potential process improvements across departments and the network to reduce the level of fast-track total losses and back ordered parts.
* Through continuous improvement, identify potential company training requirements which would assist in delivering improved services for both fast track total loss and back ordered parts.
* To meet agreed targets set out.
* The completion of duties as required from time to time by the Management Team.
* Adhere to stated Company Policies and Procedures and carry out all duties in a way which is consistent with our clients' values. Always promote data security in and outside of the business, strict adherence to GDPR and information security standards.
* General undertaking of ad hoc administration tasks as requested.

Person Specification
* Good knowledge of Microsoft Office
* Excellent telephone manner
* Knowledge of Audatex an advantage
* Able to build and maintain relationships.
* Ability to work to agreed deadlines, targets, and objectives.
* Able to work as part of a team as well as autonomously to a high level of accuracy.
* Good planning and organisational skills
* Customer focused – all parties.
* Commitment to providing a first-class service to customers, suppliers, and partners.

* 37.5 hours per week, Monday to Friday plus 1 in 4 Saturdays (8.30am – 12.30pm)
* Training to be provided on all areas of the role.
