TheApprenticeships Programmes and Systems Manager will be responsible for managingand developing systems and processes for the Senior Leadership Apprenticeshipand other degree-level programmes. The role focuses on ensuring compliance withESFA and Ofsted requirements, developing the systems for the effectiveadministration of the level 7 programmes, and acting as the main contact foremployers and learners. The manager will take a lead in the development andimplementation of fully integrated Apprenticeships and LMS system, such asAptem.
2. KeyResponsibilities
2.1Compliance and Process Improvement
· Reviewand update all systems and processes to meet ESFA and Ofsted compliancerequirements.
· Leadthe development and implementation of compliance requirements for level 7programmes.
· Takea lead on working with a systems supplier to develop and implement a singleApprenticeships management and LMS system, to be ready by end of November 2024for the first cohort of learners starting in January 2025.
2.2Employer and Learner Engagement
· Actas the Account Manager for all employers sponsoring employees in NCA Apprenticeshipsprogrammes.
· Provideinformation, advice, and guidance to potential employers and learners.
· Engagewith employers to monitor learners' progress and completion.
· Meet mutually agreed monthly targets for theimplementation of the Aptem Apprenticeships MIS and LMS and its continuingdevelopment.
· Training other NCA staff to maximise theeffective use of Aptem.
· Training and supporting academic tutors andlearners to use the system.
· Successfully use the system to meet EFSA andOfsted requirements and submitting monthly funding claims.
2.4Compliance with Funding Rules via a new system
· Stayupdated with ESFA funding rules and guidelines.
· Ensureall apprenticeship programmes meet the ESFA’s eligibility criteria.
· Maintainaccurate records and documentation to demonstrate compliance with fundingrequirements.
· Submitfunding claims accurately and on time.
2.5Data Management and Reporting
· Managethe Individualised Learner Record (ILR) submissions to the ESFA.
· Ensuredata accuracy and integrity in all reporting systems.
· Monitorand analyse apprenticeship data to ensure compliance and performance targetsare met.
2.6Quality Assurance and Improvement
· Implementrobust quality assurance processes to meet ESFA and Ofsted standards.
· Conductregular internal audits and self-assessments to identify areas for improvement.
· Developand maintain a Quality Improvement Plan (QIP) based on audit findings andfeedback.
· Ensure that all tutors assessors areproficient at using Aptem for delivery of teaching, learning, and assessment materialsand in monitoring learner engagement in the learning processes.
2.8Safeguarding and Prevent Duty
· Implementsafeguarding policies and procedures to protect apprentices.
· Ensurestaff and apprentices are aware of and adhere to safeguarding guidelines.
· Fulfilthe Prevent duty by promoting British values and preventing radicalisation.
2.8Monitoring and Evaluation
· Regularlyevaluate the effectiveness of apprenticeship programmes.
· Usefeedback from apprentices, employers, and staff to make improvements.
· Monitorkey performance indicators (KPIs) and take action to address any areas ofunderperformance.
2.9Inspection Preparation
· Prepare for Ofsted inspections by ensuringall documentation and evidence are up-to-date and easily accessible forassessment of compliance with rules and regulations.
· Conductmock inspections and provide staff training to ensure readiness.
· Addressany actions or recommendations from previous inspections promptly.
2.10Partnership Management
· Supportand work with Engagement and Placements Manager to build and maintain strongrelationships with employers, training providers, and other stakeholders.
· Collaboratewith employers to ensure apprenticeship programmes meet their needs andstandards.
· Engagewith external quality assurance bodies and awarding organisations.
2.11Collaboration and Teamwork
· Workclosely with the Apprenticeships Director, Curriculum and QA Lead, Engagementand Placements Manager, Programmes Administrator, and NCA support team.
· Collaboratewith the Apprenticeships Systems and Virtual Learning Environment (VLE)partner, teaching staff, internal assessors, and external verifiers.

· Firstdegree or equivalent (essential) and or Masters/professional qualification(Desired)
3.2Experience
· Knowledgeand experience of managing apprenticeships provision and working with tutorsand assessors.
· Experiencein quality assurance processes and maintaining compliance with regulatorystandards.
· Experienceof working with an online apprenticeships MIS and ability to work with developersto create a system to meet NCA needs and requirements.
· Familiaritywith government-funded apprenticeships and engaging with employers.

· Exceptionalcommunication and interpersonal skills, with the ability to build relationshipsand provide high-quality customer service.
