To manage the day-to-day work of the stores coordinator(s) and Assistant Technical Officers in the provision of the Topping Up service and other basic stores functions, to ensure a timely, accurate and safe service to all users, liaising with other Lead Technicians, where appropriate in all matters relating to aspects of the Pharmacy Store and its services.
To provide training and assessment of Pharmacy staff to ensure the provision of high-quality service and to be involved in developing and maintaining a well-trained and motivated team.
To support the Stores and Distribution Manager responsible for stores and Logistic services in ensuring that hospital and internal Pharmacy policies and procedures are followed and the supply to pharmaceutical items to internal and external customers meet agreed deadlines.
Key Responsibilities:
1. Manage the day-to-day provision of Stores Services to the wards and departments of the hospital, ensuring that pharmaceutical items are checked and supplied to internal and external customers to meet agreed deadlines.
2. Deputise for the Pharmacy Stores and Distribution Manager, ensuring the day-to-day service provision is maintained during short term absence.
3. Organise, co-ordinate and oversee the duties performed by the Assistant Technical Officers (ATOs) and Pharmacy Technicians in the Stores area to maintain a high-quality service.
4. Manage the ordering of sundry items required for use within Pharmacy Stores and ensure any that are used within the top-up services are charged to the relevant cost centres.
5. Assist in the co-ordination of annual leave in the department to ensure adequate service levels.
6. Undertake ‘return to work interviews’ for the Stores areas sporadic sickness management for staff in accordance with the Trusts and Departmental sickness monitoring policy.
7. Be involved in the recruitment and selection of Pharmacy Stores staff, at all grades.
8. Assist the Pharmacy Stores and Distribution Manager in managing unlicensed products, ensuring appropriate stock holding and documentation are maintained.
9. Assist with the management of the topping–up service and participate when required in designated areas, ensuring patient confidentiality is maintained.
10. Liaise with the Chief Technician Procurement, Pharmacy Stores and Distribution Manager, and Pharmacy Finance staff on drug shortages and supply problems, assessing the impact on services users with a view to supplying alternative products.
11. Be a link between Governance and Pharmacy Stores for Health and Safety issues.
12. Assist in the provision of induction training for new staff, competency and validation programmes, including assessments for the Level 2 stock management qualification and continuing education for all staff directly working within or on rotation through the Stores area to meet the Trust’s Clinical Governance Standards.
13. Participate in extended delegated checking duties in accordance with departmental policies to ensure that the correct medicines are issued from the Pharmacy Store and keep the error rate within the Pharmacy Standard.
14. Perform final accuracy checking of items dispensed by other members of staff in accordance with agreed protocols to meet departmental standards.
15. Participate in the departmental appraisal scheme (IPR) and perform appraisal interviews with all grades of staff, including ATOs, technicians, portering staff, and storekeeping staff, to monitor performance and accept feedback from members of staff.
16. Assist the Chief Technician in preparing and implementing procedures to ensure uniform systems of working are in place where standards and quality are maintained.
17. Contribute to departmental planning and development of services and undertake project work as required.
18. Assist in recycling unwanted pharmaceutical products from wards and departments to ensure safe and effective disposal of waste and the safe return of stock to various cost centres.
19. Participate in the regular review of ward and departmental stock lists and checking of stock in areas that do not receive a topping up service to reduce waste and ensure appropriate supply of medicines.
20. Assist on a day-to-day basis in error monitoring, recording, and feedback to the staff in the Stores areas to reduce risks within the Pharmacy Stores and on wards and departments.
21. Participate in departmental stock control within the Distribution area to ensure effective stock levels are maintained and discrepancies are reported in a timely manner in liaison with the Pharmacy Information Technology and Finance teams.
22. Assist the Senior Technician Purchasing and the Pharmacist in charge of product recalls in informing the relevant stock holding areas, withdrawing affected products, and supplying replacement stock.
23. Be a key holder, locking up when required, maintaining security within the Pharmacy stores area at all times.
24. Regularly attend and contribute to team meetings and, in the absence of the Pharmacy Stores and Distribution Manager, attend meetings that require input from the Stores areas.
25. Deal with telephone and face-to-face enquiries and complaints from a wide range of staff groups, resolving where possible and referring appropriate queries to relevant members of the pharmacy team.
26. Ensure that all drug transactions are entered accurately and timely onto the pharmacy computer system to minimize stock discrepancies.
27. Participate in the creation, reporting, and monitoring of workload data to support key performance indicators, generating action plans and supporting teams to complete the objectives developed, as necessary.
28. Take responsibility for personal continued professional development.
